Job Overview

Position Schedule: Full-Time

Home Office Real Estate and Support Services is responsible for optimizing the delivery of physical space and facilities services in support of all HO associates and to maximize their productivity and minimize facilities related distractions from their daily work.

This Construction Project Coordinator role will support all leaders within the Enterprise Workplace Services (EWS) teams to execute, enhance, and maintain business processes, programs, tools and systems, as well as support the day-to-day needs of the in-house construction project management team.

Tasks would include but are not limited to:

  • Assist in-house Construction Project Managers with overseeing all phases of a project including planning, design, construction, FF&E, technology, and occupancy and communications

  • Develop and/or proofread project status reports for accuracy and consistency, take and publish project meeting minutes, issue and process purchase orders and related invoices, update tracking reports, and maintain files for multiple concurrent internal design and construction efforts

  • Provide superior project support, internal and external communications and coordination to in-house Project Managers, Home Office leadership and 3rd party support partners

  • Analyze situations related to a broad spectrum of business topics, processes or improvement opportunities and recommend improvements to management in a clear and concise manner

  • Concurrently manage multiple projects at the same time, solve problems under tight time frames, heavy workloads, or conflicting demands with minimal oversight

  • Collaborate across department leadership to proactively identify potential workflow and system opportunities to improve the evolution of in-house programs/processes. Provide ad hoc support to fellow team members as needed to support various department initiatives and emergency response.

  • Assist in the preparation of communication and presentation materials to support the effective communication of Home Office Real Estate and Support Services initiatives.

  • Maintain department resources including emergency contact lists, BCP plans, and intranet sites.

  • Assist with data collection and analysis to support departmental communications and decision making.

  • Serve as the department liaison for various firmwide initiatives such as business continuity planning and records management.

The salary range for this role is based on national data and actual pay is based on skills, experience, education, and other relevant factors for a potential new associate:

Hiring Minimum: $59886

Hiring Maximum: $98752

Skills/Requirements

Candidates that live within a commutable distance from our St. Louis, MO home office locations are expected to work within the office three days per week, with the preference for Tuesday, Wednesday, and Thursday.

Minimum Requirements

  • 5+ years of relevant experience working with design and construction project managers actively supporting a variety of commercial construction related efforts

  • Experience performing basic data analysis and preparing presentation materials to enable decision making by senior department/firm leadership.

  • Strong business acumen, project management and organizational skills.

  • Highly proficient in Microsoft Word, Excel, PowerPoint and MS Project.

  • Strong judgment, written, verbal and interpersonal skills. Ability to collaborate with and influence leaders and the general associate population; regarded as a strong change agent.

  • Must be familiar with AIA Documentation

Preferred skills

  • Bachelor's Degree

  • High digital acumen

  • Excellent organizational skills

  • Membership in corporate/commercial real estate industry organization(s) is preferred, but not required. This individual will be expected to stay current in the industry and to bring construction management best practices to the team.
