Job Summary:

The Volunteer Program Coordinator is responsible for the recruitment, placement, orientation, training, engagement, coordination and recognition of volunteers. This position also assists with programming tasks and provides direct services to clients. There are two positions, one dedicated to Emergency Services and one to Senior Dining.

Major Job Responsibilities:

Recruitment, Placement, Orientation, Training, Engagement, Coordination and Recognition of volunteers

  1. Recruit, engage, and train volunteers to be successful in their positions.

  2. Review volunteer applications and background checks and determine acceptance or non-acceptance.

  3. Orient new volunteers to increase their understanding of the program and organization, its clients, its services and their roles/responsibilities.

  4. Ensure that volunteers work in a safe, healthy, and supportive environment.

  5. Prepare schedules and assignments for volunteers in advance of their shifts; communicate with volunteers before, during and after their experience.

  6. Responsible for all communication, onboarding and daily administrative functions for volunteers.

  7. Assist with conflict resolution that involves volunteers and recommend any disciplinary action if necessary.

  8. Serve as backup for volunteer positions not filled for programming needs.

  9. Assist in planning and implementing formal and informal volunteer recognition activities.

  10. Develop job descriptions for various volunteer positions.

  11. Update and administer all Volunteer Handbook Policies and Standard Operating Procedures

Community outreach/recruitment of volunteers

  1. Works with outside agencies, college & university volunteer service offices, community groups, etc. to develop sources for qualified volunteers.

  2. Work with businesses to plan their corporate social responsibility and to select Catholic Charities to be their volunteer project of choice; provide tours of the program/facility as appropriate.

  3. Schedules and attends volunteer fairs to generate qualified applicants for volunteer positions.

  4. Assess and communicate volunteer needs.

  5. Identifies creative recruiting resources to attract culturally diverse volunteers.

  6. Develops creative recruiting resources to attract qualified and interested volunteers for one-time and on-going projects.

  7. Identifies and engages in networking activities such as attending volunteer fairs and professional association meetings.

  8. Establishes ongoing relationships with high schools and colleges, community volunteer organizations/associations such as RSVP, United Way, and Volunteer Connection, church individuals/groups, community groups and associations, and businesses/organizations interested in social justice. Recruits volunteers utilizing these developed methods and relationships.

  9. Travel will be required across the 14-county service area for the Senior Dining Volunteer Program Coordinator to do outreach and recruitment.

A dministrative and Program Duties

  1. Comfortable leading projects, setting priorities, thinking creatively and working as a collaborative team member and leader.

  2. Knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  3. Meets regularly with Program Manager and Program Coordinators to discuss needs, concerns, and program planning.

  4. Attends program and organizational meetings and in-service training.

  5. Works flexible hours to accommodate clients, volunteers, and donors.

  6. Performs program services in the absence of the program staff.

Volgistics Maintenance and Coordination

  1. Serves as administrator of Vogistics volunteer database for the program.

  2. Prepares related volunteer schedules, reports, and materials according to established deadlines.

  3. Ensures training and accurate data entry in the volunteer database by volunteers and staff.

Job Requirements:

Education: Bachelor's degree preferred, or equivalent combination of education, training and experience.

Job Related Experience: Three (3) years of volunteer supervision and/or volunteer experience, customer service or human services work.

Additional Knowledge, Skills, and Abilities Required: Experience working with social service organizations, volunteer programs, and racially diverse communities a plus. Commitment to a cause or charity, effective communication, compassion with helping others, leadership, a strong worth ethic, collaboration with others and time management are required.
