California Dental Association Accounting Specialist II – Accounts Receivable in Sacramento, California

Job Purpose  

The Accounting Specialist II is responsible for processing and applying daily in house and lockbox cash receipts for CDA & all subsidiary companies, coding checks to the appropriate general ledger accounts, preparing and submitting deposits to the bank using remote deposit service and reconciling six daily bank statements to the core systems. Administering monthly automated payment withdrawal program for CDA & TDIC. Monthly property management rental invoices.

This is a full-time position working onsite at CDA’s building; there is no remote work in this position.

    Essential Functions –

     

  • Import daily bank lockbox cash receipts from bank into two core systems. Review payment coupons with bank for accuracy. Manually enter & apply in-house dues payments & insurance premium payments into core systems. Research, analyze & reconcile discrepancies between invoices & payment remittance.  

  • Process daily bank deposits, separate cash receipts by company and code checks to the appropriate accounts; designate deposit amounts as A/R or non A/R and calculate totals. Prepare and submit deposits to the bank using remote deposit service.  

  • Research, analyze, adjust and reconcile unapplied membership dues & insurance premium receipts in core systems.

  • Process membership refunds; research member profiles and accounts receivable information as required; reconcile and verify refund registers ensuring checks are mailed to the appropriate recipients; create check export file and submit to A/P.

  • Daily reconciliation of cash receipts for six bank statements utilizing system-generated reports which also includes ACH deposits, ACH withdrawals, MC/Visa/Amex deposits. Balance MC/Visa/Amex with credit card processor systems, internal core systems and bank.

  • Administration of automatic premium withdrawal program (APW) for CDA membership and TDIC policyholders; prepare monthly bank transmissions. Process all incoming APW requests for new sign up, cancel from APW and bank account changes. Validating ACH zero dollar prenote files for ACH department of bank.  Researching and resolving any ACH prenote errors.

  • Monitor and enter bank returns for all companies in core systems. Notify business units or customers as required. 

  • Monthly tenant rental invoices for all building tenants, including miscellaneous invoices for property management. Deposits of monthly tenant rents, postings in core systems and reconciling to bank.

  • Generate monthly TDIC broker commission, reconciling for accuracy and distributing commission backup reports to TDIC brokers.

    Non-Essential Functions

  • Assists with related special projects as needed.

  • Performs other duties as assigned.

    Required Education, Licenses & Experience

  • High school diploma or GED.

  • Minimum of three years A/R experience with computerized systems.

  • Demonstrated knowledge of finance, banking and accounting operations, with emphasis on account reconciliation and budgeting.

  • Relationship skills: focusing on meeting needs and exceeding expectations for those served inside and outside the organization.

  • Proficient computer skills, including, intermediate Excel experience.

  • Demonstrate excellent verbal, written and interpersonal communication skills, along with strong organizational skills.

  • Strong math and analytical skills with strong attention to detail.

  • Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm.

  • Ability to prioritize workload to meet deadlines, and manage multiple projects.

  • Ability to work independently with minimal supervision, exercising good judgment and professionalism.

    Preferred Education, Licenses & Experience

  • Associate’s degree or bachelor’s degree in business, finance or accounting.

  • Experience with Lawson, Guidewire systems.

    Salary Range: $47,400 - $59,200
