Job Overview:

An Administrator, On-Site Propert y performs all administrative tasks to ensure the smooth operation of the office, including handling correspondence, phone calls and scheduling.

Compensation: $18 - $20 an hour

FirstService Residential will compensate the successful candidate in accordance with the posted range. The salary or wage paid to the successful candidate will be commensurate with experience, education, and specific job responsibilities. For positions designated at a client's property, the salary or wage will also be premised upon the client's directive. The base pay range is subject to change and may be modified in the future.

Job Responsibilities:

Administrative:

  • Perform all administrative tasks to ensure the smooth operation of the office, including handling correspondence, phone calls and scheduling.
  • Assist in preparation and distribution of agendas, notices, reports and other documents required for monthly board and annual meetings. Take minutes of the board meetings. Follow up on items requested by the boards after meetings.
  • Order and maintain supplies and arrange for equipment maintenance.
  • Assist staff with requested items.
  • Prepare and monitor non-compliance letters, hearing and decision notices.
  • Other duties as requested by Manager.
  • Prepare new homeowner handbooks and schedule and perform new resident orientation as needed.

Member Services:

  • Respond to and addresses resident concerns and complaints.
  • Issue and register/activate transponders.
  • Assist new owners with completion of registration forms and review of documents

Responsibilities:

  • Answer and direct phone calls
  • Organize and schedule meetings and appointments
  • Maintain contact lists
  • Produce and distribute correspondence memos, letters, faxes and forms
  • Assist in the preparation of regularly scheduled reports
  • Provide information by answering questions and requests
  • Generate reports
  • Handle multiple projects
  • Contribute to team effort by accomplishing related results as needed
  • Carry out administrative duties such as filing, data entry, copying, binding, scanning etc.
  • Write letters and emails on behalf of other office staff
  • Cover the reception desk
  • Maintain computer and manual filing systems
  • Handle sensitive information in a confidential manner
  • Take accurate minutes of meetings
  • Reply to email, telephone or face to face enquiries
