Developmental Disabilities Institute Early Childhood Administrative Assistant 1 - Bilingual in Ronkonkoma, New York

Description

Under direct supervision, performs a variety of office, secretarial and/or administrative support for the Early Childhood Services program. The Early Childhood Administrative Assistant 1 – Bilingual performs a varied and complex array of administrative support functions and may be responsible to coordinate certain departmental activities.

Salary Range: $17.55 to $21.06

Qualifications:

  • High School Diploma required.

  • One year of experience in an office environment.

  • Formal secretarial or office management training in lieu of experience may be substituted for experience.

  • Must have demonstrable computer skills.

  • Must be able to effectively communicate both orally and in writing

  • Must possess organizational and time management skills.

  • Thorough knowledge of English (grammar, spelling, punctuation etc.) as well as fluency (both verbal and written) in a second language.

    Responsibilities:

  • Prepare and manage correspondence, reports and documents that may be confidential in nature.

  • Organize and coordinate meetings and conferences.

  • Maintain schedules and calendars.

  • Greet and direct visitors; accept, screen and route telephone calls.

  • Communicate verbally and in writing to answer general inquiries concerning activities and operations for the Early Childhood Services program.

  • Establish, maintain, process and update files, records and other materials.

  • Order departmental supplies.

  • Sort and distribute incoming mail.

  • Prepare photocopies, faxes, and operate a variety of office equipment.

  • Provide verbal translation as needed for staff, families and other stakeholders.

  • Translate written documents as needed for families and staff.

  • Other duties as assigned.

    Essential Physical Demands:

  • Must be able to sit for up to two hours at a time.

  • Must be able to use all office equipment in use in the assigned office.

  • Must be able to lift/move, push and pull objects up to 20 lbs

  • Must be able to pull/retrieve/re-file files

  • Must be able to sit and use hands and fingers to handle and/or feel

  • Must be able to communicate via telephone

  • Must be able to stand, walk, reach with arms and hands, climb, balance, stoop, kneel, twist and bend

  • Specific vision abilities required by this job include close vision and the ability to adjust focus.
