Job Summary

The Office Assistant provides office support to our Rohnert Park employees and General Manager by performing general office duties, event planning, and supporting our Marmot team. Our Office Assistant will champion our employee values and ensure the office is a warm, welcoming, and well-run space.

Essential Functions

  • Lead all aspects of managing our office, including mail processing, vendor management, food and beverage services, ordering office supplies, maintenance/work order requests, and serving as the liaison with building management as the main first point of contact.

  • Serve as the first point of contact for visitors and employees, helping and creating badge access and security.

  • Serves as liaison between employees and building management.

  • Support current employees and onboard new employees.

  • Manage office administration and reception duties, including meeting schedules, conference room coordination, answering calls and greeting visitors.

  • Provides Sales Sample support including organizing and managing in-house sample sets and ensuring timely delivery of samples to Reps.

  • Perform data entry, invoicing and processing POs for office.

  • Assist with coordinating events and lead Activity Committee.

Qualifications

  • Professional demeanor and customer service orientation.

  • Previous experience in office administration or coordination role.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

  • Strong organizational and time-management skills.

  • Excellent verbal and written communication abilities.

  • Ability to multitask and prioritize tasks effectively.

  • Detail-oriented.

Salary Band: $50-60k (this role pays hourly)
