Job Responsibilities:

  • Onboard University payees and collaborate closely with Procurement Services on the onboarding of suppliers through a third party portal (PaymentWorks) ensuring information submitted is valid and successfully transmitted to enterprise resource planning (ERP) system. Ensure supplier and payee data submitted is accurate and complete to ensure tax reporting, such as 1099 and 1042, can be produced timely and accurately. Work with payees and suppliers and to resolve issues, as needed.

  • Track information for gifts, gift certificates and gift cards given to employees, students and non-employees for tax reporting purposes and update employee earnings and appropriate tax reporting and withholding for all non-employees. Serve as the first point of contact regarding gifts given for employees, students and departmental staff.

  • Reconcile the University’s travel prepaid airfare account to ensure transactions are expensed to the appropriate department/project timely. Research and resolve credit card assignments that are in suspense working with our designated travel agencies and departmental staff and process correcting journal entries, as needed.

  • Prepare University reporting for dormant accounts to the NYS Office of the State Comptroller in accordance with NYS Abandoned Property Law, including distributing letters for outstanding accounts payable checks, following up on returned mail, requesting replacement checks, and maintaining accurate records. Work closely with appropriate Controller’s Office staff to resolve outstanding issues to ensure that University’s general ledger account balances are correctly stated.

  • Record and collect accounts receivable (AR) balances for taxable tuition waivers and salary and supplier overpayments. Process invoices in the ERP AR module, contact employees and suppliers to collect outstanding balances, reconcile general ledger accounts, process journal entry corrections, and resolve issues as appropriate.

  • Reconcile a variety of balances sheet accounts monthly including garnishments, child support, tax levies, and other benefit deductions. Review documentation to ensure transactions are supported and correctly recorded and process journal entry corrections, as needed.

  • Perform various tasks to support Accounts Payable 1099 and 1042s preparation.

  • Complete special projects as assigned by management.

  • Participate in a minimum of 40 hours of training/professional development annually. Training must be applicable to the employee’s role current within the Controller’s Division with the intent of enhancing overall knowledge as well as the specific skills, whether functional or technical, required to perform successfully in the position.

Required Qualifications:

Education/Experience:

  • BS in Accounting, Business Administration or related business discipline, with four to five years relevant experience, OR equivalent combination of education and applicable experience. Comprehensive knowledge of accounting principles and practices

  • Experience working with an enterprise-wide financial system and a high degree of expertise with MS Office products including Excel, Access and Word

Skills:

  • Demonstrated excellent customer service skills and ability to effectively communicate verbally and in writing, provide training; and build consensus

  • Must possess the ability to interact effectively and professionally with individuals at all levels of the organization and be able to work collaboratively with diverse staff, colleagues, departments University-wide and third party vendors.
