Job Responsibilities:

Major Responsibilities

  • High-level administrative support for major gift fundraisers. This includes, but is not limited to:

  • Supporting day-to-day office functions including drafting/processing correspondence, calendar scheduling (including continual awareness of the team’s schedules), reception phone coverage, and other office needs as requested.

  • Creating, proofing, editing, preparation, distribution and monitoring of fundraising materials, including documenting major donor proposals, grants, pledge reminders and acknowledgement documents.

  • Coordinating committee meetings/conference calls and calendar appointments with high-level donor prospects, RIT leadership (VPs, AVPs, Deans, etc.), and other key constituencies.

  • Assisting with and participating in donor and university wide events as assigned, handling support logistics including compiling meeting materials.

  • Arranging visits/luncheons/tours for on-campus or off-campus meetings; including organization of travel, accommodations, reservations, communication with detailed itinerary and logistics for prospects visiting campus.

  • Arranging travel, accommodations, logistics of prospect meetings and campus traveling partners.

  • Tracking and monitoring budget reconciliation for travel and procurement card with fiscal reports.

  • Data entry, inquiries, updating of proposals and bio information and reporting tasks with the confidential Advance database system.

  • Executes queries from Advance database system to develop and manipulate constituent lists, reports and presentations.

  • Perform other duties as assigned.

Required Qualifications:

Education/Experience:

Associate's degree or 2 years equivalent experience

Skills

  • Excellent interpersonal and communication skills

  • Solid business writing and proof reading skills

  • Advanced level user of MS Office, including Word, Outlook, Excel and PowerPoint and comfort in learning new, university-supported technologies and software.

  • Ability to handle highly confidential information in a professional manner

  • Ability to listen, analyze, and problem solve.

  • Strong customer service, time management and organizational skills.
