DISTINGUISHING FEATURES OF THE CLASS: This is a clerical position responsible for the performance of confidential and complex clerical duties for the Commissioner of Public Works and providing support to the Department of Public Works. Work involves independently solving problems in office procedures, types confidential or technical material, assisting customers by responding to questions, accepting and processing various applications and permits, and performing related clerical work. The employee reports directly to and works under the general supervision of the Commissioner of Public Works. Does related work as required.

TYPICAL WORK ACTIVITIES: Performs administrative duties, including those of a confidential nature for the Commissioner of Public Works; Types correspondence, memoranda, letters and reports; Attends meetings and hearings for purposes of taking and summarizing minutes; Prepares complex forms, documents and reports, and composes correspondence on matters requiring a thorough knowledge of pertinent departmental functions and procedures; Checks and processes requisitions, claim vouchers, bills and payroll; Assists and advises customers regarding complaints, obtaining permits, and property inspections; Reviews and accepts completed forms and applications; Maintains several data base programs to log complaints, building permits, property inspections; Assists staff in following up on incomplete information, ensuring proper procedures are adhered to and other related issues. Answers telephone and obtains and gives out routine information to the about office function and services, refers calls to proper office and personnel, or takes messages; Interacts with the general public, obtaining and giving out information, directing visitors to proper office, or announcing visitors and appointments;

FULL PERFORMANCE KNOWLEDGES, SKILLS, ABILITIES AND PERSONAL CHARACTERISTICS: Proficient knowledge of office terminology, practices and procedures; Proficient knowledge of basic math; Proficient knowledge of bookkeeping practices; Proficient knowledge of office management techniques; skill in typing; demonstrated readiness to manage a wide variety of clerical duties in an efficient and professional manner; demonstrated readiness to maintain confidentiality when warranted; demonstrated readiness to complete complex clerical assignments independently; demonstrated readiness to maintain files, accounting books, and record systems; evidence of the (5) components of communication, including; speaking, listening, reading, writing and non-verbal; demonstrated readiness to deal effectively with the public; demonstrated readiness to establish good working relationships with others; tact; courtesy; initiative; trustworthiness; accuracy, physical condition commensurate with the demands of the position.
