Job Function:

The Secretary II supports the Career Services Office. The Secretary II will manage multiple tasks and responsibilities simultaneously and produce high quality work with minimum supervision. This position is the main point of contact for MCC Students as well as employer relations at MCC.

Primary Functions:

  • Greet and triage students and employers in the reception area. Includes; answering phones, checking- in students, welcoming employers arriving for daily on-campus recruiting tables, scheduling student appointments, scheduling on-campus recruiting events, entering information into calendar/database, and responding to general questions.

  • Acts as the point person for employers seeking to recruit students and graduates. Assists employers recruiting via Handshake and sends targeted listings to students.

  • Assists with planning and coordinating multiple annual career/job fairs and over 75 recruitment programs for students.

  • Serves as the point person for faculty. Schedules 75+ presentations for faculty annually. Responsible for entering information into our Career Management System for tracking.

  • Schedules, coordinates and prepares correspondence for on/off-campus site visits/meetings for the director ensuring all parties are contacted and resolving all scheduling conflicts.

  • Creates check requests, requisitions and purchase orders. Collaborate with the Director of Career Services to develop budget justifications and estimates for office supplies, equipment, catering services, food purchases and rental space for events.

  • Prepares agenda and minutes of administrative meetings.

  • Collaborates with the director to compose and prepare the Career Services annual report.

  • Proofreads typewritten materials such as brochures, flyers and directories for sense, consistency and quality, as well as for spelling, grammar and punctuation.

  • Responsible for significant data entry and database maintenance for office databases.

  • Monitor and respond to six email addresses on the web site.

  • Maintain 3 office bulletin boards.

Secondary Functions:

  • Train clerical staff and student workers to cover the reception area; answer phones, greet students, schedule appointments, maintains database's and responds to general questions.

Required Qualifications:

  • Must currently hold the civil service title of Secretary II or be on the current eligible list for this title OR meet the following minimum qualifications to be eligible for a provisional appointment:

  • Graduation from high school or possession of an equivalency diploma, plus EITHER:

  • (A) Three (3) years paid full time or its part time equivalent office secretarial experience; OR

  • (B) Graduation with a diploma or certificate from a school of business or business institute with a major in Secretarial Science, Word Processing, or a related area, plus two (2) years of experience as defined in (A) above; OR,

  • (C) Graduation from a regionally accredited or New York State registered college or university with an Associate's degree in Secretarial Science or related area plus one (1) year of experience as defined in (A) above; OR,

  • (D) Graduation from a school of business or business institute with an Associate's degree in Secretarial Science, plus one (1) year of experience as defined in (A) above; OR,

  • (E) Any equivalent combination of education and experience as defined by the limits of (A), (B), (C) and (D) above.

  • Must be a Monroe County resident.

Preferred Qualifications:

  • Bilingual and able to read, write, and speak Spanish, or other languages, proficiently

    Additional Information:

Job Type: Permanent, Full-time

Hours: Monday-Friday, 8:45am-4:45pm

Salary: $38,638.57 with a 6 month increment
