Mary Cariola Children's Center RECEPTIONIST/ADMINISTRATIVE ASSISTANT in Rochester, New York

Description

Pay Rate: $16-$21 per hour

Duties and Responsibilities

Receptionist Duties:

  • Serve as the back-up receptionist during student arrival/dismissal and the receptionists’ breaks

  • Provide substitute coverage when a receptionist is absent at any campus

  • Answer multi-line phone system, directing calls to the appropriate party or taking messages when necessary

  • Collect, enter, and disseminate student and staff attendance data

  • Answer emergency calls for nursing and behavioral support, acting calmly and quickly to dispatch teams to the location of emergency

  • Play an integral role in student arrival and dismissal by using the paging system, call board, and intra-school Verizon phones to provide information to classrooms

  • Interact with people on the telephone and personally in a responsive and appropriate manner while also accurately performing job tasks

  • Create a positive environment by welcoming visitors in person or on the telephone

  • Connect visitors to appropriate Mary Cariola Staff, maintaining consistency with internal procedures

Administrative Assistant Duties:

  • Format and type all reports, forms, records and other related materials as requested with accuracy

  • Create, file, and maintain documentation in student central files including preparing files for meetings, archiving files when students exit the program or transition to another building, etc.

  • Ensure central files are secure and accessed only as appropriate

  • Manage other clerical requirements including filing, copying and mailing as requested

  • Develop, prepare, and distribute memos, newsletters, flyers, etc. as requested or needed

  • Handle time sheet distribution and review of completed time sheets

  • Maintain and enter time taken in the Leave Tracking System for staff supervised by the Vice Principals and Principals

  • Distribute materials between campuses as needed

Other Duties:

  • Follow and implement all Agency policies, procedures and/or processes

  • Follow school safety plans including the use of secure doors, issuing visitor badges, and verifying identification documents

  • Perform emergency response duties as assigned

  • Other duties as assigned

Qualifications

  • High School Diploma or GED

  • Minimum of 2 years related experience and/or training, or equivalent combination of education and experience

  • Ability to read, write, speak and understand English including interpreting documents such as safety rules, procedure manuals and operating/maintenance instructions

  • Valid NYS Driver’s License

  • Must have strong organizational and problem-solving skills

Preferred Qualifications

  • Previous experience or specialized training in computers, switchboards and reception
