Job Function:

The Program Secretary reports to the Director of UB and is responsible for gathering data from all UB staff, maintain and update in-house Excel database, log data into the program's database, producing records and reports mandated by the funder, preparing correspondence, preparing meeting agendas and minutes, and handling other relevant projects as assigned by the Director.

Description of Duties:

  • Collect, log and maintain statistical data as required by the United States Department of Education.

  • Maintain and develop Excel database for MCC-UB program

  • Maintain updated contact information and contact/participation hours for all UB students.

  • Log all student activity hours.

  • Process requisitions for UB staff travel, conferences and purchased services.

  • Take minutes at UB staff meetings.

  • Prepare program correspondence.

  • Coordinate reservations and payments for UB activities and field trips.

  • Coordinate student/parent mailings and maintain data on mailings.

  • Manage hiring of part-time staff including completing hiring forms and calculating payroll.

  • Reserve space for UB functions including classrooms and workshop space.

  • Organize confidential records required by USED and MCC in a digital format.

  • Take inventory and replenish all office supplies.

  • Assume other duties as assigned by the Program Director.

    Job Requirements:

Required Qualifications:

  • Graduation from high school or possession of an equivalency diploma, plus EITHER;

  • (A) One (1) year paid full-time or its part-time equivalent office clerical or secretarial experience; OR,

  • (B) Successful completion of thirty (30) college semester credit hours; OR,

  • (C) An equivalent combination of education and experience defined by the limits of (A) and (B) above.

Preferred Qualifications:

  • Associate's Degree from an accredited institution plus two years' experience in office procedure and database management or a high school diploma with five years' experience in office procedure and database management

  • Ability to complete assignments with minimal direct supervision

  • Ability to multi-task with great attention to detail

  • Ability to design, program and maintain Excel database

  • Proficiency in MS Office Word and Excel

  • Excellent organizational, interpersonal and communications skills

  • Ability to work in a culturally diverse environment

  • Ability to be a flexible team member

  • Bilingual and able to read, write, and speak Spanish, or other languages, proficiently

    Additional Information:

Job Type: Part - time

Hours: Approximately 20 hours per week

Salary: $17 to $22 per hour depending on prior experience and education level
