Job Responsibilities:

  • Provide excellent service to faculty and staff who are involved in the day-to-day administration of sponsored projects.

  • Develop and maintain comprehensive knowledge of the requirements of sponsored programs administration including the application of Federal cost principles, administrative requirements, and audit requirements (OMB Uniform Guidance); federal acquisition regulations (FAR); NY State guidelines/regulations; and all related RIT organizational policies and procedures.

  • Possess a thorough knowledge of all Controllers’ Office processes that impact SPA including preparation of journal and budget entries, accounts payable (invoice payment forms, purchase order payments, travel expense reimbursements), accounts receivable, procurement card transactions, payroll and student account adjustments.

  • Work closely with Principal Investigators (PIs) and departmental administrative staff to ensure accurate and timely accounting for all sponsored project activity and resolution of outstanding issues on post-award financial management for a portfolio of grants, contracts, and cooperative agreements, including:

  • Attend project initiation meetings (PIMs) to gain a thorough understanding of the award’s terms and conditions

  • Ensure accuracy of transactions through review and certification of project statements

  • Forecast project balances

  • Prepare internal and external reports

  • Review committed and actual effort for key personnel and determine if fluctuations require sponsor notification

  • Review and approve invoices, employee action forms, and position requisitions

  • Monitor all projects through monthly reporting; make adjustments as necessary; and, resolve account deficits and/or issues

  • To enhance understanding of internal and external policies and procedures, as well as raising awareness of the importance of good internal controls importance, assist with or deliver SPA training workshops to PIs, department administrators and others involved in sponsored project administration.

  • Provide information for development and maintenance of college/unit functional operating and project/program budgets, and perform accurate budgeting and forecasting across operations and projects or programs. Oversee the financial management of operating, salary, capital, endowment, gift and discretionary budgets, including assisting in strategic planning, analysis and forecasting

  • Complete special projects and analyses as requested by management.

  • Participate in a minimum of 40 hours of training/professional development annually (or a pro rata amount based on standard working hours) applicable to the employee’s current role.

Required Qualifications:

Education/Experience:

BS in a quantitative business discipline (e.g. Accounting, Finance, Economics, Accounting Information Systems); five to six years related accounting and financial analysis experience, OR an equivalent combination of education and applicable experience.

Skills:

  • Enterprise wide financial applications experience

  • Advanced knowledge of Excel and Access

  • Intermediate knowledge of all other MS Office products.

Preferred Qualifications:

  • CPA or MBA;

  • Specific higher education and/or not-for-profit expertise and knowledge of the requirements of sponsored programs administration, accounting practices, and procedure.

  • Knowledge of Lean principles including evidence of successful application to achieve process improvement.

Job Summary:

Please note: The initial appointment period is a 20 month appointment ending on February 1, 2026 and is conditioned on satisfactory performance as determined by the Controller’s office. This appointment may be extended based on satisfactory performance and the needs of the Enterprise Resource Planning project. At the conclusion of the project, the position will end and your employment with RIT will be terminated.

Responsible for post-award financial administration of a large portfolio of grants, contracts, and cooperative agreements including but not limited to accounting, internal and external financial reporting, budget compliance, analysis, and forecasting for colleges and research centers. Provide support to the Sponsored Programs Account (SPA) management team and staff by researching and interpreting compliance and allowability questions. Assist in developing and implementing new and modified policies and procedures to improve operational efficiencies.
