University of Rochester Administrative Assistant IV in Rochester, New York

POSITION SUMMARY:

Under the general direction of the Division Administrator and Division Chief for the Division of Gastroenterology and Hepatology, with independence and latitude to exercise judgment. Assist with all aspects of administration for the division and assure the necessary support for operations. This position may have oversight of subordinate support staff as indicated, as well as mentoring and project leadership duties. Maintain strong working relationships with all department leaders and administrators as well as all hospital and affiliated staff.

SPECIFIC RESPONSIBILITIES:

  • Primary administrative support for division leadership team as well as oversight of assigned operational support staff. Directly supports the Division Chief, Division Administrator with regard to division and leadership meetings and projects.

  • Main point of contact for recruitment of new GI and Hepatology Faculty and Advanced Practice Providers to include regional GI and Hepatology needs. Assists departmental leaders with the entire recruiting and onboarding process including creating position descriptions, advertising and promoting openings, reviewing and screening applications, creating the interview template, scheduling interviews, making the offers to the candidates and onboarding of new hire.

  • Assist in facilities planning; in consultation with others, determines need for and recommends equipment and supplies. Coordinates space planning and space survey activities. Maintains space database on an ongoing basis.

  • Primary oversight of GI and Hepatology Faculty recredentialing, reappointments and required professional licensing. Primary oversight of maintaining professional memberships and continuing education for GI and Hepatology Faculty, Fellows and APPs.

  • Administrative lead for QAPI program as well as project oversight for division expansion / growth initiatives, division events and other assigned initiatives.

Other duties as assigned; may include coverage for other administrative staff as needed to minimize operational disruption.

QUALIFICATIONS:

  • Graduation from college or an equivalent combination of experience and training required.

  • 3 years of related work experience including at least 1 year in an administrative capacity in an academic office or project management, or the equivalent experience in business required.

  • Knowledge of University Polices, NYS labor laws, and excellent communication skills preferred

  • Notary Public preferred

Pay Range

Pay Range: $20.92 - $29.29 Hourly

The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job’s compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
