Kimley-Horn Project Coordinator in Reston, Virginia

Overview

Kimley-Horn is looking for a Project Coordinator to join our Reston, Virginia (VA) office! This is an in-person position.

Responsibilities

This position has multiple responsibilities including project-based work and administrative duties including but not limited to:

  • Tracking of all tasks and client deliverable documents.

  • Create, maintain, and track project schedules.

  • Facilitating client communications (proposals, letters, contracts, transmittals, etc.).

  • Interface with clients regarding project expectations as it relates to schedule and permitting process.

  • Compiling and assembling reports; coordinating large production jobs, printing and binding.

  • Preparing weekly trackers or job status communications for clients.

  • Project production: Create, proofread, edit, format and finalize project-related documents.

  • Track production needs and shift coordination.

  • Monitor schedules and budgets.

  • Provide updates on program status and milestones.

  • Track projects, plans and reports through review process and keep the project managers and clients updated on status.

  • Handle permitting and entitlements for projects.

  • Develop and maintain relationships with key agency contacts for processing projects through permits.

  • Assisting project managers with client billing and performing invoice reviews.

  • Creating and tracking purchase orders to subcontractors. Processing vendor and sub consultant invoices.

  • Accepting incoming Purchase Orders and setting up electronic job folders, online trackers and inputting into internal accounting systems.

  • Coordinate, print and assemble project submittals to various jurisdictional agencies, Cities, utilities, etc.

  • Assisting project managers with contract processes, contract administration, subconsultant IPO’s and request insurance certificates.

  • Database Management.

  • Other duties as assigned.

Qualifications

  • High School Diploma or equivalent.

  • Valid driver’s license.

  • 3 or more years of relevant project coordination experience preferred.

  • Minimum of 3 years of experience in a professional office environment.

  • Proficiency in Microsoft Office Suite, including Word, Outlook, Excel, and PowerPoint.

  • Proficient in Adobe Professional.

  • Highly organized and detail-oriented.

  • Critical thinking and problem solving skills.

  • Excellent verbal and written communication skills.
