DESCRIPTION

JOB SUMMARY:Facilitate and coordinate timely processing of medical records requests upon receiving a Release of Information (ROI). Distribute and deliver medical records releases from collaborating agencies, patients, physicians, other healthcare providers, insurance companies and attorneys. Demonstrate knowledge of and adhere to all State and Federal regulations regarding release of patient information, HIPAA, PHI and maintaining patient confidentiality. HOPES has an integrated team model approach to patient care. Part of the Medical Records Technicians responsibility will include participation in organization wide Patient Centered Medical Home activities to enhance patient care.

ESSENTIAL FUNCTIONS:

  • Maintain a good knowledge and understanding of Northern Nevada HOPES mission, vision, and philosophy and support these tenets at all times while conducting agency business.
  • Contribute to a healthy work environment by demonstrating the following: active participation in meetings and team building activities; direct and timely communication about needs and problems at all times and an open and receptive attitude towards proactive problem solving and constructive feedback approaches.
  • Maximize learning opportunities by remaining receptive to constructive feedback and utilizing support available from your supervisor.
  • Must be computer proficient and able to utilize an Electronic Health Record system for maintenance and retrieval of records.
  • Handle all clinic scanning and Medical record requests from clinical staff.
  • Tracking of request for internal compliance audits.
  • Receives requests for release of medical records and process requests in a timely manner.
  • Reviews medical records to ensure confidentiality guidelines are in place.
  • Ensure that medical records release requests adhere to HIPAA guidelines.
  • Maintains patient confidentiality and has full understanding of HIPAA.
  • Able to handle sensitive and confidential information and situations.
  • Able to meet strict deadlines while handling frequent interruptions and must also multi-task and interact with a wider variety of people on various and, at times, complicated issues.
  • Able to use, store and maintain multiple usernames and passwords.
  • Follows policy and procedure regarding medical records release at all times.
  • Performs other work related duties as requested.
  • Requests paper medical records from Pulitz upon requests from providers.
  • Maintain and processes all faxed test results, referrals, mail and other correspondence and electronically files in the proper electronic health record.
  • Responds to all internal requests for medical records.
  • Participate in all meetings and workflow improvement projects as needed.
  • Assists with other assignments as needed and requested by direct supervisor
