Heidelberg Materials is looking for a qualified Maintenance Administrative Assistant for our Regina, SK operations, reporting to the Saskatchewan Regional Manager. The Maintenance Administrative Assistant position is responsible for administrative and support of the production and sales teams. Additionally, this position is responsible for monitoring of parts inventory; issuing parts and repair PO's, reconciling those POs vs invoices, tracking shop and plant R&M and consumables expenditures vs set maintenance budgets for both mobile fleet and fixed assets, and maintaining the chosen CMS system database with closed work orders and cost tracking.

What You'll Get To Do:

  • Working with vendors and involved with ordering

  • Maintain parts room inventory and stocking of parts

  • Issue PO’s for all maintenance, parts and consumables spending. Track spending, and reconcile invoices with PO’s.

  • Track and record maintenance records in the CMS system

  • Provide administrative support for the shop functions

  • Follow all safe work procedures and policies to ensure an incident-free work environment

  • Achieve or exceed sales targets

  • Customer expectations clearly defined and updated in ERP system

  • Proactive customer call cycle

  • Process work in timely fashion

  • Order book maintained and managed

  • Compliance with corporate standards and requirements

  • Assist senior sales staff with market management, product pricing, sales strategy, sales goals for across the Saskatchewan market

  • Prepare detailed accurate quotes and send to customers

  • Create and maintain comprehensive project documentation and correspondence

  • Assist Technical Marketing with creation and coordination of sales and marketing materials

  • Other duties as assigned

What We Are Looking For:

  • Minimum High School Diploma, post secondary education would be an asset

  • 2-5 Years experience in the construction industry, preference will be given to experience in Aggregates

  • Experience with maintenance tracking systems preferred (i.e. TMT or Checkproof)

  • Experience with Heavy Duty Equipment parts knowledge preferred

  • Good communication and teamwork skills

  • Experience with Provincial and/or Federal Transportation records requirements preferred, but not required

  • Strong proficiency with Excel and Word, and strong computer proficiency in general

  • Accounting and budget management skills are strongly preferred

  • Ability to work in flexible environments, from shop parts room to office setting

  • Vendor management experience an asset
