Job Description:

Administrative Assistant: Planning and Development Department The Administrative Assistant for the Planning and Development Department (PDD) provides a wide range of administrative support services to the Planning and Development Coordinator and the Planning and Zoning Commission. The Administrative Assistant directly reports to the Planning and Development Coordinator. This position does not supervise other employees and this position is non-exempt.

Essential Functions, Roles and Responsibilities: The listed functions are illustrative only and are not intended to describe every function which may be performed.

  • High level of customer service, due to interaction with the public and applicants.
  • Greet and assist the public, in person and on the telephone, listen and document customer inquiries and responds or refers to appropriate staff or other departments.
  • File, record management, and retention.
  • Records research.
  • Prepares meeting packets, takes and accurately transcribes meeting minutes and prepares records of public meetings.
  • Follow instructions/directions.
  • Draft correspondence.
  • Draft public notices.
  • Draft and assist with review of documents and reports.
  • Prepare building permits.
  • Wear appropriate Business Attire.
  • Assist with preparing an annual departmental budget.
  • Process department invoices, and application fees.
  • Other general clerical and receptionist duties as assigned.

SkillsAbilitiesCompetencies:

  • Ability to maintain a high degree of personal control and professionalism.
  • Ability to professionally represent the department in working with other county departments, elected officials, outside agencies, and the public.
  • Strong communication skills, both written and oral.
  • Attention to detail.
  • Proficiency and knowledge in Microsoft Office including Word, Access, Excel, Publisher, and PowerPoint.
  • Proficiency and knowledge in Zoom and Microsoft Teams video conferencing.
  • Proficiency in typing, filing, and proofreading.
  • Ability to work independently or in a team environment as needed.
  • Ability to handle multiple priorities and projects.
  • Ability to operate standard office equipment, including but not limited to: PC and peripherals, 10-Key Adding Machine or Keyboard, Copier/Scanner/Fax Machine, Binding Machine, etc.

Minimum Qualifications:

This position requires a high school diploma or a GED or any combination equivalent to experience and education that would provide the required knowledge, skills and abilities would be qualifying.
