TÂCHES ET RESPONSABILITÉS

  • S’occuper de la réception, du téléphone, des réunions des clients et s’occuper d’accueillir les clients et les visiteurs

  • Chercher le courrier non identifié dans (base de données du client)

  • Suivre une formation polyvalente dans le centre de courrier et d’impression et prendre le relai au besoin

  • S’occuper des événements de clients internes

  • Escorter les invités jusqu’aux salles de réunion. Prendre et ranger les manteaux et les bagages. Offrir du café et de l’eau.

  • Travailler en étroite collaboration avec les administrateurs du service

  • Surveiller la boîte aux lettres pour les services – pour gérer les réservations de salles de réunion faites par des clients et les demandes de traiteur. Trier les demandes de traiteur et coordonner les salles de réunion gérées de clients.

  • Surveiller la boîte aux lettres pour les télécopies – messages vocaux enregistrés et télécopies électroniques

  • Aider à gérer la boîte aux lettres pour les installations

  • Soumettre des demandes de service au propriétaire relatives à des problèmes concernant le bâtiment

  • Documenter les procédures de la réception ainsi que les maintenir et les mettre à jour sur le site SharePoint.

  • Offrir son soutien pour les demandes de récupération de dossiers pendant la transition des dossiers électroniques à l’entreprise

  • Gérer les cartes d’accès

  • Participer à la surveillance incendie organisée par l’équipe de santé et de sécurité

QUALIFICATIONS

ÉDUCATION & EXPÉRIENCE :

  • Diplôme d'études secondaires ou équivalent

  • Minimum de 1 ou 2 ans d'expérience en tant que standardiste

COMPÉTENCES :

  • Fortes aptitudes interpersonnelles avec la capacité de développer rapidement des relations d'affaires

  • Forte motivation personnelle pour favoriser les résultats

  • Fortes aptitudes en communication verbale et écrite

  • Utilisation efficace de Microsoft Office

  • Capacité de soulever et de pousser régulièrement des objets pesant jusqu’à 30-50 livres

Job Duties & Responsibilities:

  • Will manage front office, telephone, client meetings, greet clients and visitors.

  • Will look up unidentified mail in (client database).

  • Will cross train in the mail/print center and rotate in as necessary.

  • Will manage in-house client events

  • Escort guests to meeting rooms. Take coats/luggage and store. Offer coffee/water.

  • Works closely with department Admins.

  • Oversee services mailbox - for administration of client meeting room reservations and catering requests. Triage catering requests and coordination of managed client meeting rooms.

  • Oversee fax mailbox – recorded voice messages and electronic fax.

  • Back up oversight to facilities mailbox

  • Submit service request to landlord for building issues.

  • Document front desk processes and maintain \ update on sharepoint site.

  • Back up to support requests for records retrieval during transition of electronic records to the business.

  • Security access card administration.

  • Participate in Health & Safety Fire warden.

Education & Experience:

  • High School Diploma or equivalent experience

  • Minimum 1-2 years of experience working in a reception position

Skills:

  • Excellent interpersonal skills with the ability to quickly develop business relationships

  • Strong self-motivation to drive results

  • Excellent communication skills both verbal and written

  • Effective use of Microsoft Office

  • Ability to regularly lift and push objects up to 30-50 lbs
