Eaton Corporation Executive Assistant to MD in Pune, India

What you’ll do:

• Act as the point of contact among executives, employees, clients and other external partners

• Manage information flow in a timely and accurate manner

• Provide administrative support by preparing and handling correspondence, reports, and presentations.

• Manage executives’ calendars and set up meetings, appointments, and events & take minutes during meetings

• Make travel and accommodation arrangements (domestic + international travels) for the executive, business guests and other leadership stakeholders.

• Support Global Senior leadership with their itinerary during their visit to country

• Claim Management for the executive; Rack daily expenses and update in company tool.

• Collaborate with offices of other internal stakeholders including other executive assistants and team members to ensure smooth operations.

• Organize and coordinate meetings, conferences, and other events, including logistics and materials preparation.

• Work closely with Human resources team to organize events , trainings, and oversee the performance of other administrative staff

• Format information for internal and external communication – memos, emails, presentations, reports

• Maintain an organized filing system, both digital and physical, to ensure efficient document retrieval.

• Act as an office manager by keeping up with office supply inventory

• Screen and direct phone calls and distribute correspondence

• Handle confidential information with discretion and professionalism.

• Open to additional responsibilities which will provided to giving learning opportunity to the successful candidate.

Qualifications:

• Bachelors Degree in Business Administration and equivalent

Skills:

• Excellent written and verbal communication skills

• Proven experience as an executive assistant or similar role

• Strong executional skills and time-management skills.

• Strong interpersonal abilities.

• Proficiency in MS Office suite, calendar management tools and other computer tools required to efficiently deliver the responsibilities.

• Ability to handle multiple tasks and prioritize effectively in a fast-paced environment.

• High level of integrity and ability to handle confidential information.

• Flexibility and adaptability to changing priorities.

• Previous experience in a corporate or mobility industry setting is advantageous.
