Available Title(s): 107I-YNCSNPS - Program Specialist 2 Business Title: College of Medicine Enrollment Coordinator Employee Type: Classified Position Details: Summary of Duties: The College of Medicine Enrollment Coordinator will manage the life cycle of complex enrollment, registration, grade entry, and transcript management for all enrolled medical students (approximately 320). This role advises and consults with faculty directors and staff subject matter experts across multiple units to ensure accurate data reporting on student records and transcripts. This role will also advise on the implementation of student leaves of absence and facilitate the leave and reentry process across several units. This role will generate multiple required licensing documents utilized for clinical practice upon completion of the MD program. The Enrollment Coordinator will engage with stakeholders across the university to perform their duties, both locally in Spokane and remotely in Pullman, at the clinical campuses and others within the College. Essential Job Duties: 60% Enrollment and Registration Management 20% Grade Entry, Reporting, and Monitoring 15% Leave of Absence Operations 5% Professional Development and Other Required Qualifications: A Bachelor's degree OR equivalent education/experience. Additional Requirements: • Previous work experience in the areas of curriculum, assessment, advising, academic coordination, enrollment, registrar or related role at an institution of higher education, medical school or related environment. • Demonstrated experience with records or data management systems such as student records, learning management systems, electronic health record systems, human capital management systems, customer relationship management systems, or similar platforms. • Demonstrated experience Microsoft Office such as Access, Excel, Outlook, PowerPoint, and/or Word. • Attention to details, organized, and multi-tasking to meet deadlines and ensure accuracy of documents. • Experience developing, improving, implementing and/or working within workflows, including establishing and/or adherence to timelines. • Demonstrated excellent verbal/written communication and interpersonal skills. • Demonstrated ability to work effectively and positively in a diverse environment. • Demonstrated ability to work independently and prioritize tasks effectively. Preferred Qualifications: • Demonstrated ability to exercise professional judgment and leadership. • Experience analyzing, evaluating, using professional judgment and/or applying a comprehensive depth of knowledge of registrar/enrollment issues. • Familiarity with Washington State University academic rules and regulations.
