The Graduate School (https://www.brown.edu/academics/gradschool/) , as a partner with departments, oversees policies and processes that guarantee the academic integrity of graduate programs institution-wide, manages campus appointments and an array of academic and professional development opportunities for graduate students, and provides a wide range of support services and programming to support student needs.

Responsibilities:

The Assistant Director of Admissions and PhD Funding manages graduate admissions systems, policies and operational processes in the Graduate School while also managing stipend and fellowship appointments and funding for 1,600+ PhD and MFA students across 50+ programs. Reporting to the Executive Dean of Administration and Finance, the Assistant Director will work closely with senior leadership in the Graduate School, while also overseeing a team of staff, to establish and maintain effective workflow and administrative processes for admission. The Assistant Director will partner with the Office of Information Technology and serve as the lead staff member in the Graduate School responsible for the implementation and management of a new admissions system (Slate) for 50+ PhD and MFA programs. This will require close coordination with University stakeholders across campus.

The Assistant Director will oversee the Graduate School’s graduate student funding policies and procedures, working with academic departments across campus to provide guidance and support. The incumbent will ensure that graduate student funding is appropriately managed, tracked, and analyzed in University systems . This involves coordinating doctoral student stipends, fellowships, as well as policies to account for internal and external funding awards. The Assistant Director will ensure that all funding policies adhere to provisions within the graduate student union collective bargaining contract.

The incumbent will join a team of highly collaborative professionals in the Graduate School who work to support the more than 3,000 graduate students and who maintain a commitment to diversity, equity and inclusion.

Qualifications:

Education

  • Bachelor’s degree and 5-7 years related experience or equivalent combination education and experience

Experience

  • Significant experience working with faculty, deans, staff, and students in a university setting.

  • Experience in graduate admissions, enrollment management, and/or administration

  • Knowledge and understanding of graduate/doctoral education, policies, and procedures

  • Experience managing or being a high-level user of a complex University-wide data system.

  • Experience with Slate CRM and other current and emerging technology related to graduate admissions.

  • Experience in administration, general operations, analysis and reporting, and planning.

  • Demonstrated experience and success working in a diverse environment with a clear understanding of the issues of diversity in both student and workplace settings

Job Competencies

  • Familiarity with or ability to learn best practices in higher education admissions and administration.

  • Must be highly organized, detail-oriented, and have strong interpersonal and communication skills

  • Ability to establish and promote good working relationships with colleagues, faculty, administrators, students, and vendors

  • Excellent management and project development skills, ability to set priorities, meet deadlines and work closely with peers

  • Must be able to work independently and take initiative

  • Must have ability to handle confidential materials with discretion

  • Expertise in working with data and reporting systems and tools, computer technologies, and databases valued
