Job Description

Supply Chain Specialist CZ/SK

OBJECTIVES:

The Supply Chain Specialist will manage the processing of Customer Orders for CZ/SK, reporting to the Supply Chain Manager as appropriate.

The Supply Chain Specialist will maintain supply of Takeda products to Customers, liaise with the 3PL and provide customer service for these products including managing customer complaints and queries.

This individual will be responsible for the timely completion of goals and objectives.

ACCOUNTABILITIES:

  • Support Supply Chain team with order management processes for customers in Czech Republic and Slovakia, inventory control and supply management

  • Perform customer services tasks, e.g. managing orders, process invoices, answering and solving complain

  • Set up an open and effective information flow within Czech Republic and Slovakia organization, suppliers and distribution partners

  • Create and maintain master records related to customers and pricing conditions

  • Support QA teams with regard to deviations, Corrective and Preventive Actions, Change Control Requests and other QA investigations

  • Coordinate import/export licenses with regard to narcotic products

  • Invoice and credit customers

  • Answer customer claims and handle customer returns (e.g. credit notes)

  • Issue credit notes pertaining to price adjustments

  • Cooperate with commercial teams on promotional activities delivery

  • Manage and monitor tender procedures

  • Archive sales documentation

  • Report sales and stock-outs to relevant authorities

  • Provide support during Launch period

  • Manage Pricelists in FIT

  • Managing of DTP provider

  • Managing of local emergent warehouses

  • Managing and monitoring of actual artwork versions for deliveries

  • Preparing data for scrapping to 3PL

  • Manage interface with 3PL connected to customer orders and complaints

  • Releasing of sales orders in SIMS tool

  • Ensure fast availability of missing documentation to Logistics Service Provider

  • Provide missing documentation to Logistics Service Provider (Phoenix) and ensure that Logistics Service Provider (Phoenix) has made the goods available in Takeda’s ordering system

  • Document outcome and timelines on the above steps/flow

  • Continuously improve customer satisfaction in Czech Republic and Slovakia

  • Assess and address customer satisfaction

  • Managing activities and projects for improving customer experience

  • Monitor and manage customer service performance in area of responsibility

  • Collect information on transactions and volumes

  • Support on an ad-hoc basis the Supply Chain Manager

EDUCATION, KNOWLEDGE AND SKILLS:

Required:

  • University Degree preferable

  • 1-2 years of experience from Customer Service operations (order handling, invoicing and credit notes), transportation, and customer claims preferably within the pharmaceutical or food industry.

  • Knowledge and related functional expertise in SAP and some of its modules (Material Management MM, Sales and Distribution SD, Warehouse Management WM, Demand Planning IBP or Supply Network Planning SNP)

  • Experience with the European pharmaceutical market is preferred

  • Fluent in Czech and English, written and verbal

  • Good analytical skills and confidence in working with data and systems (Microsoft Excel and SAP)

  • Ability to work in a transnational organization

  • Good collaboration and communication skills

  • Able to solve problems and propose solutions

  • Experience from improving business practices/working procedures
