Job Summary The pathology Medical Secretary is responsible for the performance of all duties associated with managing pathology reports and associated follow up. The Medical Secretary also administers the daily pathology list, manages the entire process of sending out cases and keeps record of the slides returned to the Pathology Department. In addition, the Medical Secretary is responsible for managing legal requests, special stain requests and compilation of pathology materials for Tumor Boards. These duties are performed in conjunction with general secretarial duties such as correspondence, photocopying, filing, faxing, entering data into databases and answering the telephone.

Essential Responsibilities:

  1. Responsible for the receipt, registration and processing of pathology specimens including verification of appropriate paperwork and insurance.

  2. Checks, sorts, copies, scans, faxes and files paperwork as necessary.

  3. Ensures the accuracy of all information on reports and follows up on any missing information.

  4. Effectively communicates with ordering physicians, retrieving requested reports and informing physicians of report status.

  5. Accurately manages pathology reports, send outs and returned slides.

  6. Sends out pathology materials as requested by, the patient, referring physician or Pathologist

  7. Manages add on requests.

  8. Prepares material for several Tumor Boards, conferences and other meetings.

  9. Maintains and Models REACH values (Respect, Excellence, Accountability, Compassion, Honor).

  10. Demonstrates regular, reliable and predictable attendance.

  11. Performs other duties as required.

Education and Experience Requirements:

· High school diploma or equivalent.

· PREFER: Associate Degree from a secretarial or office administration program.

· PREFER: Three years related experience or five years office experience.

Minimum Knowledge, Skills and Abilities Requirements:

· Knowledge of medical terminology.

· Ability to operate office machines including fax, scanner, telephone, copier, etc.

· Excellent written and verbal communication skills.

· Knowledge of spreadsheets and databases.
