*This is the earning potential over the course of eight steps. New hires will generally start at Step 1. Annual step increases are based on performance reviews and financial authorization.

The Department of Environmental Protection, Division of Resource Administration announces an Office Associate I vacancy in Portland.

BRIEF JOB DESCRIPTION: The position is an integral part of the Department’s Environmental team that provides reception duties in the Southern Maine Regional Office. The primary focus of the Office Associate I position is to provide primary clerical and administrative support to all staff, including greeting customers at front window, answering telephone lines, receiving and routing payments for license applications, maintaining office supplies and equipment, processing incoming and outgoing mail, and assisting the OA II and other staff on special projects or tasks. The Office Associate I position needs to be motivated, dedicated, flexible, detail-oriented and have the ability to work under time-sensitive deadlines while being a team player.

MINIMUM QUALIFICATIONS: In order to qualify, you must have training, education or experience in office and administrative support work that demonstrates: 1) competency in applying a solid knowledge of modern office practices to perform complex, varied office support tasks; and 2) the ability to use independent decision making on the appropriate processes to follow, information to process and actions to take in accordance with standard procedures.

Preference will be given to candidates with skills and/or experience in:

  • Using all Microsoft Office products and other databases

  • Acting as a team player, supporting staff members in a variety of ways

  • Working in a fast-paced environment with other agencies and stakeholders

  • Deploying excellent customer service skills

  • Being familiar with the US Postal Service system and mailings
