Spectrum Healthcare Partners HIM Specialist - Part Time in Portland, Maine

Company Overview

Spectrum Healthcare Partners is Maine’s largest multi-specialty, physician-owned and directed professional organization and is comprised of over 200 physicians practicing in the areas of anesthesiology, orthopedics, pain management, pathology, radiation oncology, radiology, and vascular & interventional services. Spectrum provides services at many of Maine’s hospitals throughout the state and in eastern New Hampshire.

POSITION SUMMARY

Responsible for maintaining, ensuring accuracy, and processing Release of Information requests, while adhering to the policies and procedures to ensure safety of patient health information.

Hours: 32  hrs per week, 4 days - 8:00am - 4:30pm. This is a fully benefit eligible position. 

ESSENTIAL FUNCTIONS

  • Reviews patient records for completeness and accuracy prior to releasing information in response to an internal or external request

  • Protects the confidentiality of patients and records at all times complying with HIPPA policies and procedures

  • Prepares and scans documents; disseminates to charts

  • Reviews patient records for completeness and accuracy prior to releasing information in response to an internal or external request

  • Releases information from the electronic medical record in response to properly authorized requests

  • Responds quickly and positively to customers while exhibiting a professional manner

  • Reports documentation and scanning errors

  • Manages electronic fax folders

  • Manages outgoing referrals

  • Responds quickly and positively to customers while exhibiting a professional manner

  • Manages incoming departmental phone calls and mail

  • Assists walk-in patients with  record requests

    PRIMARY RESPONSITBILIES

  • Communicates effectively with patients, families, providers, staff and others

  • Attends meetings as assigned, and participates in educational activities to keep skills up to date

  • Ensures health information practices meet legal and ethical standards

  • Works on special projects as requested

  • Demonstrates professionalism at all times

  • Displays cooperative behavior and interacts positively and effectively with others to promote a team environment

  • Performs other duties necessary to maintain the overall efficiency and continuity of the department/practice

    QUALIFICATIONS

  • High school graduate  or GED

  • 2 year’s related experience in a medical office or hospital setting

  • Broad knowledge in medical records administration and medical terminology

  • Knowledge of HIPAA and State regulations related to release of information

  • Excellent customer service skills

  • Ability to make well-reasoned decisions, both independently and as part of a team

  • Ability to follow-through to meet patient, physician, and/or practice needs

  • Ability to use discretion in handling confidential information

  • Ability to work collaboratively and effectively with individuals at all levels of the organization

  • Effective written and verbal communication skills

  • Detail oriented with the ability to prioritize

  • Proficient computer skills

  • Excellent time management and organizational skills

    PHYSICAL DEMANDS / WORK ENVIRONMENT

  • Operation of various office equipment; fax machine, telephone & voice mail system, stationary/lap top computer, scanner, e-mail system, cell phone, pager, and copier

  • Light lifting of paperwork, folders or other general record keeping materials

  • Lifting of mail bins and boxes up to 50 lbs.

  • Light travel to various sites of service

  • May be required to sit or stand for extended periods of time

  • Occasional reaching, bending
