nVent Document Mgmt Specialist in Ploiesti, Romania

Position Summary

This role will partner with other departments to control of all project documents and drawings (including incoming and outgoing documents of clients and sub vendors) in accordance with company and client requirements and to strict project deadlines. Manage the document control system

Key Role Responsibilities

  • On commencement of new project all client/subvendor details and information to be entered into the Document Control System.

  • Control all incoming and outgoing project documentation and drawings.

  • Determine documentation requirements and submittal dates on a project along with Project Manager/Engineering Project Lead.

  • Setup & maintain project documentation and drawing filing systems.

  • Prepare document status reports for Project Manager/Client.

  • Assist translation of documentation as required.

  • Assist in the preparation of project documentation & produce manuals in the number & format required by the client.

  • Arrange copying of documents as necessary.

  • Close out & archive projects.

  • Ensure that product literature is up to date and available in required quantities.

  • Manage & police the document control system by providing training for team members & ensuring document control procedures are followed.

  • Provide backup support for Office Administrator.

  • Participate in development and improvement initiatives, and undertake internal and external training and product awareness.

Qualifications and Experience

  • In excess of 1 year document control experience (preferably within the Oil, Gas or Petrochemical industries) or project administrative role

  • Secondary education with secretarial/clerical qualifications.

  • Computer literacy, especially in MS Office tools.

  • A high degree of accuracy with an eye for detail.

  • Time management and organisational abilities, ability to prioritise demands.

  • Strong communication skills.

  • An understanding of the business culture associated with an American parent company.

  • Experience working with key end users & engineering contractors in a European project environment.

  • Solution orientated mindset - a drive for results supported by strong accountability and “ownership”

  • Action orientated and the ability to take initiative, and manage multiple tasks to completion

  • Customer focused with the ability to manage customer’s demands whilst retaining composure

  • The ability to work with other departments, including using influencing in a matrix organisation
