JOB TITLE: ADMINISTRATIVE CLERK DEPARTMENT: TREASURER\'S EMPLOYMENT TYPE: FULL-TIME/NON-EXEMPT UNION/NON-UNION: SUPERVISORY & PROFESSIONAL UNION The Administrative Clerk is responsible for specialized clerical work that includes posting AP warrants to the general ledger, and printing and disbursing all A/P checks twice weekly. Incumbent also receives, balances & tracks weekly departmental turnovers, enters and posts weekly receipts into Munis, and keeps all backup documentation. RESPONSIBILITIES - Posts A/P warrants to general ledger. Prints and disburses all A/P checks twice weekly. - Receives balances and tracks weekly departmental turnovers. - Prepares and submits weekly bank deposits. - Enters and posts weekly receipts into Munis and keeps all backup documentation. - Processes reissued A/P checks after void processing and keeps all backup documentation. - Researches any returned checks and notifies departments to obtain funds. - Answers telephone and in-person inquires. - Counter work, Receipts for Department Payments. - Collecting rental for Berkshire Artisans. - Provides back-up support for Head Clerk and Benefits Analyst. - Balance cash drawer at end of shift. - Performs all other duties as assigned or required. QUALIFICATIONS - High school diploma or equivalent - 1-3 years of relevant experience in accounting, bookkeeping, finance, or closely related field. - Must possess basic knowledge of computerized accounting system, familiarity with data entry procedures using a personal computer and/or mainframe system. - Proficiency in Microsoft Office, including Word, Excel, and Outlook. Experience with MUNIS is preferred. - Requires strong communication skills to work effectively with a diverse population. WORKING CONDITIONS This is an office-based job in a dynamic municipal building. While performing the duties of the Administrative Clerk, the incumbent is required to: interact and communicate frequently with the public, government officials, other staff members and boards, and/or third parties transacting business with the City. PHYSICAL REQUIREMENTS Operates standard office equipment including computers and keyboards, at efficient speed; and move throughout the municipal building which may include flights of stairs. Lifts/moves objects weighing up to 10-20 pounds.
