Berkshire Community College Administrative Assistant II in Pittsfield, Massachusetts

Position Overview: Reporting to the Executive Director of Workforce Development and Community Education, the Administrative Assistant will be responsible for the professional support of the College\'s workforce programming focused on health care and social assistance, hospitality and culinary, advanced manufacturing, clean energy and trades, education and childcare, along with other workforce training priorities. In addition, the Administrative Assistant will provide support to a wide range of informal community education workshops. Job details include developing communications, classroom schedules, participant correspondence, distributing and procuring course materials, and managing course evaluations. Responsible for timely and accurate entry of data, compilation of records, and creation of reports, contracts, invoices, requisitions, and other critical program records. Important tasks also include compiling and analyzing data to determine enrollment and/or employment trends, and assisting the team in researching, developing, and funding new innovative programs. The assistant may perform other duties necessary to support critical work of this division. Some flexibility to accommodate shared coverage for evening or weekend programs may be required. Qualifications: Applicants must have either: (A) three years of full-time, or equivalent part-time experience in office management, office administration, program management or business management, to include one or more of the following functions: purchasing, budgeting, accounting, records management, work simplification, grants management or not-for-profit program administration. (B) any equivalent combination of the required experience and the substitutions below and as set forth in the Commonwealth of Massachusetts Human Resources Division Class Specifications for the Administrative Assistant Series: Substitutions: I. An Associate\'s or higher degree with a major in business administration, business management or public administration may be substituted for a maximum of two years of the required experience.* II. An Associate\'s or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.* *Education toward a degree will be considered proportionally towards these requirements. NOTE: Educational substitutions will only be permitted for a maximum of two years of the required experience. The successful candidate will demonstrate: - Excellent written and verbal communication skills; - Strong analytical and problem-solving skills; - Ability to work independently, manage multiple projects effectively, and meet deadlines with attention to detail in a fast-paced environment; - Interest in learning and using new software and technologies; - Ability to maintain appropriate confidentiality; - Experience and skill in managing budgets; - Proficiency using tools for Digital Communications, Outlook, spreadsheet and presentation applications, and interest or experience in data visualization; - Understanding of and strong commitment to the mission of Community Colleges.
