Administrative Assistant

UPMC Hillman Cancer Center is seeking an administrative assistant who will provide support for our faculty members as well as tasks for the main office in the Hillman Research Pavilion. This position is responsible for maintaining the day-to-day administrative operations for HCC faculty. This includes a variety of responsibilities such as: grant and manuscript preparation, prepare various research projects documentation, manage and schedule travel arrangements, maintain publication library, responsible for all faculty correspondence, maintain faculty calendar and schedule all meetings, conference calls, itineraries, prepare all correspondence, letters of support and other research documents, maintain faculty curriculum vitae, annual evaluations, reports, website, assist with teaching handouts, meeting presentations, posters, keep track of budget balance and reports, maintain and ensure compliance of administrative paper works for lab personnel, interact with representatives of supply chains, obtain quotations, and maintain and adhere to IRB, IACUC protocols and all other annual renewals and regulations.

Main office responsibilities will include but not exclusive to managing shared freezer space, managing a shared equipment file, and assisting in management of distribution lists. Computer skills require proficiency in Microsoft Word, Excel, and MS Outlook, with other possible computer skills such as EndNote, PowerPoint, PubMed, and online grant submission mechanisms such as Peris and Assist. Other software skills such as Adobe Photoshop and Adobe Illustrator are a plus.

A Bachelor's degree or HS Diploma with equivalent experience is required for this position.

Job Summary

Performs administrative and general office support work.

Essential Functions

Incumbent must have excellent organizational and communications skills. Must be able to manage multiple tasks at one time. Must always display a professional demeanor. Must keep current on University systems and rules. Must have strong computer, problem solving, and organizational skills. Work must be accurate, complete, and timely. Experience with Outlook, Teams, Zoom, Microsoft Suite, Excel, PowerPoint, and Endnote is a plus.

Physical Effort

Little physical effort required. Duties are primarily sedentary. May be required to move objects up to 25 pounds occasionally.
