Adams Electric Company Construction Administrative Assistant in Pinehurst, North Carolina

General Position Summary

The Construction Administrative Assistant is responsible for providing full-time administrative support to the Division and/or specific Project Manager/Project Executive, as assigned. This position will provide general assistance to all levels of staff within Adams Electric Company.

Responsibilities:

• Oversee/process day-to-day administrative items: new hire onboarding, new hire documentation, interview schedules, general new hire orientation as well as mailings, overnight mail, expense reports, submittals, maintenance of office supplies, etc.

• Performs filing, data input and other clerical support to all personnel and project managers, as directed.

• Answer inquiries and/or directs calls to appropriate staff, and takes messages, as necessary.

• Coordinate and initiate meetings, new hire interview schedules, and job site arrangements for the Department.

• Compose and/or edit/distribute letters, memos, reports and other departmental or job site correspondence on time.

• Maintains electronic filing of field personnel records to our secure server as required.

• Manage office supply inventory

• Record and report time for field employees

• Manage RFI, Submittal, Change Order, Constraint, Punch List electronic log.

• Provide prompt and professional service to all internal and external clients.

• Prepares and distributes internal communications and act as liaison between supervisor and others (i.e., departments within Adams Electric, external contacts, vendors, clients, etc.)

Qualifications:

  • Minimum 2 years’ construction office administrative work experience

    Required Skills:

  • Computer, filing, and excel knowledge required

  • Attention to detail is a must; strong analytical skills favored

  • Proficient in using a computer and Microsoft Office (Outlook, Word, Excel, etc.); Blubeam preferred

  • Ability to prioritize and manage multiple tasks, changing priorities as necessary

  • Ability to work under time pressure and adapt to changing requirements with a positive attitude

  • Effective oral and written communication skills as required for the position

  • Ability to be self-motivated, proactive and an effective team player

  • Ability to interact effectively and professionally with all levels of employees, both management and staff alike, vendors, clients, and others

  • Positive “can do” attitude a must

    Work Environment/Job Conditions:

  • General work environment – sitting for long periods, standing, walking, typing, carrying, pushing, bending. Work is conducted primarily indoors with varying environmental conditions such as fluorescent lighting and air conditioning.

  • Noise level is usually low to medium

  • Occasional lifting of up to 35 lbs.
