Job Title:

  • CBRE Title: Senior Project Coordinator/Associate Project Manager

  • Location of work: Damansara, PJ

About the role:

  • The purpose of this position is to provide administrative support to the Capital Project Services (CPS) and Project Management team

  • Project Management support for singular Client

  • Regional Account client

  • Project support across APAC - China & India mainly

  • Project covering: existing facilities upgrade/reftrofit/Fit out

  • Working with various Regional & Global stakeholders

What You’ll Do:

Documentation management:

  • Oversees and manages project documentation and coordinates documentation revisions and distributions.

  • Processes documentation for project commitments (i.e. Agreements, Contracts, Work Authorizations, Purchase Orders)

  • Assists project team in project closeout process including turnover documentation and financial reconciliation

  • Acts as a 'go-to' administrator for project tracking systems and websites.

Project Coordination:

  • Coordinates meeting scheduling and communications plan regarding the project among for project delivery team or work group, client and management

  • Support in record and issuance of minutes of meetings where required

  • Prepares standard project status reports for project delivery team or work group, client and management. Reports typically include: status update, budget, schedule and risk

  • Processes invoices and pay applications for projects in compliance with established governance

  • Assists management in the implementation of and monitoring the adherence to project governance practices and policies.

Capital Plan management:

  • Assist the PMO Director in updating the Client’s regional capital plan and update it into the project management technology tool (i.e. KAHUA)

  • Consolidate project cashflow reports from PMOs / PJMs to update regional capital plan

  • Perform variance analysis of capital plan submissions

Project data analysis:

  • Update and maintain project work order and PO databases for commercial analysis

  • Data management:

  • Be the champion for the project management technology tool used on account (i.e. KAHUA) region and function as the point of contact for support by the Project Management team

  • Work with project management team to ensure data integrity and accuracy for all projects tracked by the project management technology tools (i.e. KAHUA)

  • Data Entry of project information into project management technology tools (i.e. KAHUA), where required

General Duties:

  • Trains new project support team on project policies, administration and governance.

  • Other ad-hoc duties as assigned

Education and Qualifications
