As we continue to develop Marine & Offshore activities, we are delighted to offer a unique opportunity to join our organisation as Assistant and Planner for our Marine & Offshore activities in Kuwait . Position is located in Kuwait.

Mission:

The job incumbent is responsible for managing client requests, assigning, autonomously or after Operations Manager validation, the most appropriate surveyor(s) and then confirming to the client. Objectives are to ensure client satisfaction and internal efficiency. It is a key position enabling to optimize front office efficiency.

Functional Competencies:

Main tasks & duties

  1. Review client job requests and conduct initial analysis to scope the job (type of job, ship/equipment types, date, location, time requirement.

  2. Manage workload for surveyors and qualification conflicts, if any, and plan chargeable and non-chargeable activities of surveyors.

  3. Propose assignment of surveyor to a given job based on multiple criteria (client preferences, travel constraint and specificities, surveyors’ availability, etc)

  4. Manage planning confirmation through the use of MyChronos for management and optimize resource planning.

  5. Manage post-scheduling by taking care of re-scheduling and ensure full accuracy of scheduling data past-present-future (eg. duplicate jobs, missing data).

  6. Support client timely by answering process related and technical queries.

  7. Track KPIs related to scheduling, consolidate figures and provide a first level analysis to the manager.

  8. Mentoring and monitoring of surveyors.

  9. Effective monitoring of jobs in accordance with KPIs and keeping track of all survey requests.

  10. Co-ordination with other Admin teams (T&E and Invoicing) to ensure efficiency of the end-to-end process.

  11. Undertake Marine Assistance role and other adhoc tasks as directed by Operation Manager.

Requirements:

  1. University degree

  2. Minimum 3 years relevant working experience in operations back office - technical experience is a plus

  3. Ability to inspire and motivate team members.

  4. Knowledge of quality systems.

  5. Ability to gain knowledge on technical back office related topics (e.g. survey time assessment, client basic requests, surveyor’s capabilities and qualifications)

ADDITIONAL REQUIREMENTS

  • Both Arabic and English speaking & writing required.

  • Driving license (Kuwait driving license preferred)
