You Will Be Responsible For:

  • Coordinates extensive arrangements between the Regional CFO and the CFOs/CEOs of the North Florida Region and between the Regional CFO, the division and the corporate office.  Assists the Regional CFO and HR VP in processing and distributing corporate information to the region.  Facilitates communication and interaction among the CFOs and HRBPs and the Regional office. 
  • Coordinates retrieval of information from various sources including the regional hospitals and accounting departments, corporate, internet, etc.
  • Schedules meetings, prepares agendas, prepares presentations, takes minutes and distributes material as necessary and/or requested for the North Florida Region.  Distributes pre-meeting information such as agendas, handouts or booklets.  Completes minutes within forty-eight (48) hours or two (2) business days for review.
  • Maintains the calendar for the CFO and HR VP and acts as liaison between the executives and his/her direct reports, other NFR Executives, corporate personnel and other individuals.
  • Works independently to coordinate projects, prepare reports and complete assignments as delegated by the CFO and HR VP.  Facilitates written communication by grasping facts that are given verbally, in an outline form or by notes given.  Performs research as necessary to include analysis of complex issues for the completion of documents.  Ensures accuracy of documents in final form. 
  • As a member of the administrative support team, supports other senior executives with special projects as requested while using sound judgment to maintain the level of discretion and confidentiality specified and assists other support team members as needed.
  • Maintains the contract tracking system, including preparing and submitting contracts for corporate approval, monitoring deadlines, maintaining the paper files and the electronic filing system. 
  • Responsible for all incoming and outgoing correspondence for the CFO, ensuring appropriate follow-up, including drafting of response correspondence.  Advises senior executives of mail requiring a response and/or important or urgent mail.
  • Able to prepare, maintain and update spreadsheets, charts and/or graphs of information for presentations or tracking of information. Creates and distributes payroll and other reports as requested.
  • Greets visitors, physicians and hospital staff in a courteous and professional manner and diligently tries to meet their needs.

What You Will Need:

  • Works with minimal supervision.  Exercises initiative and judgment on a daily basis handling confidential information and privileged information. Decisions are made with and without guidance from a supervisor. Mature judgment is required in dealing with new and unexpected situations as they arise. Must have appropriate communication skills when dealing with Administration/management, physicians, staff patients and the public. This position requires the ability to multi-task, appropriately prioritize projects and work well under pressure.
  • Demonstrates a positive and helpful attitude in relationships with public, co-workers and others.
  • Contributes to the operations and team effort by expressing ideas, as well as concerns, problems, and status of operations when necessary. Eliminates confusion and misunderstanding in delivering clear, concise, accurate and consistent messages in various modes of delivery. Establishes methods for receiving and understanding accurate information by repeating, questioning, and note taking. 
  • Understands and abides by confidentiality of all files, data, telephone conversations, etc. and sustains level of confidentiality by adhering to the ethics of the executive personnel. Handles confidential patient and sensitive information in accordance with HIPAA guidelines.
  • Must possess excellent written, oral and computer skills in addition to good communication skills


  • AA degree in accounting or equivalent preferred.
  • Additional course work in computers, business and accounting required.
  • Excellent proficiency in Microsoft Office Products (Excel, Word, Outlook, PowerPoint) required. Driver’s license required. 
  • Five to seven years of directly-related work experience required, preferably in a health care setting.
  • Knowledge of contract management and other fiscal transactions preferred
Job Summary:

Provides administrative and secretarial support to the Regional CFO of the North Florida Region (EFR) of Adventist Health Systems and Regional VP of Human Resources and serves as a key member of the North Florida Region Administrative support team.  Through effective communication techniques and interpersonal skills serves as an essential link between the Regional CFO, Division CFO, the CFOs of the North Florida Region and their executive assistants, corporate support departments and the support departments of the region.  Regularly utilizes independent judgment to successfully support the CFO and HR VP in all aspect of job performance.
