This position fulfills a key role in providing clerical and administrative support to the Academic Standards Director of University College. Assists in the daily operation of the Academic Standards office. Performs a variety of administrative duties including, but not limited to, reception, scheduling appointments, budget, purchasing, clerical, and scheduling meetings. Informs students of university policies, procedures, services, and resources.

 

Summary of Responsibilities

 

• Administrative Support: Under general supervision performs moderately complex and confidential administrative support duties. Will be responsible for knowledge of organizational policies and procedures of the Academic Standards Office and Utah Valley University. Prepares and manages yearly department budgets, and assesses fiscal data to inform the Director about financial decisions. Coordinates department financial activities including requisitions, purchase orders, travel, and other applicable purchases and forms.

• Performs regular office duties such as composing documents, proofreading, working in Excel and Word. Manages Outlook Calendars. Manages and organizes assigned projects from Director of Academic Standards such as Academic Suspension and Academic Dismissal petitions process.

• Communication: Excellent phone, customer service, and reception skills. Communicates Academic Standards Policy and university policies to students and university staff. Will need skills and abilities to diffuse/resolve sensitive situations. Must be comfortable in working with diverse populations.

 

Minimum Qualifications

 

Standard high school diploma or equivalent plus four years of previous administrative experience with related key roles and responsibilities is required. Prefer an associate's degree in business administrative or other administrative field.

 

Preferred Qualifications:

Bachelor's Degree or Associates with 2 years of experience or 4 years of related experience

 

Knowledge, Skill, and Abilities

 

Knowledge

 

• Knowledge of best practices in communications, correspondence and coordination.

• Knowledge of administrative office methods, techniques, practices, and procedures.

• Knowledge of Microsoft Office Suite of applications

• Knowledge and appreciation for special populations such as (but not limited to) learning disabled, physically disabled, mentally disabled, first generation, low income, minority, LGBTQ, non-traditional students.

 

Skills

 

• Skill in public relations and ability to work with people from diverse backgrounds and personalities.

• Skill in the use of office equipment and computers, including proficiency in word, powerpoint, excel, and Banner.

• Skill in the preparation and interpretation of reports, charts, graphs, and tables.

• Strong interpersonal, problem-solvin g and decision making skills.

• Exceptional customer service orientation and phone etiquette.

• Skill in navigating difficult conversations and ability to diffuse and resolve sensitive situations.

 

Abilities

 

• Ability to communicate effectively to a diverse group.

• Ability to anticipate departmental and student needs.

• Ability to work well as part of a team and to build and nurture strategic relationships across campus departments and divisions.

• Ability to perform a variety of administrative support duties with minimum supervision.
