SURGERY SCHEDULER

GENERAL SUMMARY:

Under minimal supervision of a Supervisor/Manager/Coordinator, the scheduler is responsible from performing revenue cycle tasks necessary to ensure compliance, patient safety, and excellent customer service. The following tasks must be performed timely and accurately: schedule correct procedure/surgery appointments based on verbal requests or written orders (knowledge or medical terms and human anatomy preferred), demonstrate knowledge of Mercy system and services offered, validate patient demographic and insurance information, screen for medical necessity to ensure Medicare compliance, document necessary precertification/authorization for service, verify and accurately document patient eligibility and benefits, calculate and collect patient liabilities (money) and provide exceptional customer service.

KNOWLEDGE, SKILLS AND ABILITIES:

Associates degree in health related field and a minimum of 3 years working in a physician practice, urgent care or similar setting OR the equivalent practice experience.

Must possess strong interpersonal and communication skills in order to interact effectively with patients and families, physicians and office staff. Ability and willingness to identify operational and/or staff and provider issues and elevate them for resolution.

Demonstrated problem- solving ability and experience.

Must have a working knowledge of medical terminology and computer literacy, to include experience with practice management software. Experience with electronic medical records software (preferably EPIC) desirable.

Possess an understanding of the revenue cycle process and related performance measures

Analytical and organizational skills required to prioritize activities and adapt to rapidly changing situations.

Experience in CPT and ICD-9 coding required. Must have a working knowledge of ICD-10 terminology.

WORKING CONDITIONS:

Works in a normal office environment with no adverse exposure to noise, dust and the like.

Work requires flexible scheduling to meet project deadlines and workload demands.

Principal Duties and Responsibilities:

Schedules the surgery/procedure at the appropriate facility and appropriate time, while working with appropriate personnel at the facility to coordinate with the surgeon’s schedule and to ensure required protocols are met.

Accurately obtains/validates/documents patient demographic, insurance, and clinical information.

Ensures that policies and procedures and workflows are followed in regards to surgery/procedure scheduling and precertification requirements.

Performs job duties of patient services coordinator as required, consistent with staffing and patient volumes, if applicable.

Secures, completes and verifies all pertinent patient demographic and insurance information (registration process) and enters data into computer.

Sets up and organizes patient’s charts, obtains appropriate consent forms, and maintains file system for confidential patient records.

Accurately cancels and/or reschedules appointments as requested.

Collects and accurately documents initial pre-certification/authorization information if available when scheduling.

Demonstrates problem solving skills related to scheduling, financial clearance and patient liability.

Interfaces with other key internal and external staff to obtain necessary information. Demonstrates the willingness and ability to work collaboratively with others for concise and timely flow of information. Reports issues and trends to appropriate management personnel and works collaboratively to develop solutions. Participates in all educational activities, and demonstrates personal responsibility for job performance. Takes initiative for learning new skills and willingness to participate and share expertise on projects, committees and other activities, as deemed appropriate.
