A Brief Overview

The Executive Administrative Coordinator to the CEO of Children's Nebraska is a critical and highly visible role within the organization. This position requires a sophisticated, proactive, and detail-oriented professional capable of providing high-level administrative support to the CEO of a leading pediatric health system. The coordinator will ensure seamless operation of the CEO's office by managing schedules, coordinating logistics, and serving as a key liaison between the CEO and internal/external stakeholders.

Essential Functions

  • Calendar and schedule management: Skillfully manage and arrange the CEO's complex calendar, travel plans, special events, and appointments. Complete expense reports.

  • Anticipates the CEO's needs and addresses them proactively. Shows initiative in identifying and solving problems critically before they become issues.

  • Meeting Coordination: Organize, schedule, and prepare for meetings, ensuring all logistics are handled, including preparation of agendas, materials, and follow-ups in advance.

  • Liaison Role: Act as the primary point of contact between the CEO and internal/external stakeholders, including board members, senior executives, community leaders, and healthcare partners. Facilitate clear and effective communication on behalf of the CEO.

  • Project and Task Management: Track and manage various tasks, projects, and initiatives, ensuring timely completion. Anticipate the CEO’s needs, taking initiative to resolve issues before they escalate.

  • Communication: Draft and edit correspondence, reports, presentations, and other documents as needed.

  • Ensure all communications are accurate, professional, and reflective of the organization’s mission and values.

Education Qualification s

  • Associate's degree from an accredited college or university in business administration or health care related field or equivalent years of experience is required.

  • Bachelor's degree from an accredited college or university in business administration or health care related field or equivalent years of experience is preferred.

Experience Qualifications

  • Minimum of 7 years of administrative or project management experience, preferably in a healthcare or corporate environment is required.

  • Experience supporting senior executives is required.

Skills and Abilities

  • Highly proficient with Microsoft Word, Excel, PowerPoint, and Outlook

  • Familiarity with scheduling and project management tools

  • Excellent writing and communication skills

  • Availability to work on-site at Children’s Nebraska five days per week.

  • Ability to complete tasks independently

  • High sense of purpose and an agile team player

  • Ability to quickly build rapport and engage others in conversation, leaving a lasting impression on internal and external key stakeholders
