Stephens & Smith is currently seeking a full-time dynamic and motivated Clerical Assistant to join our team. The Clerical Assistant has responsibility for fulfilling various office tasks. A Clerical Assistant must demonstrate proven leadership and maintain and guarantee Stephens & Smith quality, work ethics, and safety standards.

Key Responsibilities (Includes but is not limited to):

  • Answer and transfer incoming telephone calls promptly and courteously.

  • Assist with Accounts Payable tasks, ensuring accuracy and compliance with financial procedures.

  • Scan and file documents into the electronic filing system, maintaining organization and accessibility.

  • Provide exceptional customer service to rental leasing customers, addressing inquiries and resolving issues efficiently.

  • Handle cash transactions with precision and integrity.

  • Open and close the office, ensuring security and operational efficiency.

  • Manage interoffice and external mailings, distributing correspondence promptly.

  • Perform other general and specific clerical responsibilities as assigned.

    Requirements:

  • High school diploma or equivalent.

  • Previous experience in clerical or administrative roles preferred.

  • Ability to work effectively in a fast-paced office environment.

  • Proficiency in basic computer applications (e.g., Microsoft Office Suite).

  • Strong communication and interpersonal skills.

  • Bilingual proficiency is helpful.

  • Professionalism, positivity, trustworthiness, and dependability are essential traits.

  • Continually required to reach with hands and arms.

  • Regularly works under pressure meeting project schedules and budget guidelines.

  • Continually work with diversified work groups and am able to manage conflict in a professional manner in accordance with Company policy.

  • Continually able to work eight to ten hour work days each week and occasional weekends.
