A Brief Overview

The Access Training & Quality Assurance Specialist delivers training to Patient Access Specialists, Authorization Specialists and Financial Services Advocates as well as any other roles enterprise wide that requires Registration or Authorization training. This includes training new members of their user community and new functionality of the systems used by the team, along with other department training topics as assigned. The Access Training & Quality Assurance Specialist assists with ongoing education, training, and monitoring of all roles that require Registration or Authorization Enterprise wide. The Access Training & Quality Assurance Specialist will do audits on all staff and provide a scorecard to their direct supervisor monthly.

Essential Functions

  • • Training / Adult Education ◦ Responsible for mastering Electronic Health Record (EHR) and other computer system applications along with the specific workflows of assigned application(s) ◦ Develop and maintain technical training schedule and employee transcript, coordinating course offerings within operational needs and schedules ◦ Effectively communicate to diverse groups and individuals through strong written, speaking and listening skills ◦ Maintain a supportive learning environment that encourages interactivity and promotes the positive culture at Children’s ◦ Facilitate end user training on the proper use of (EHR) applications or other department related topics in a classroom setting using exceptional presentation skills ◦ Apply adult learning principles to deliver a variety of training programs that achieve all aspects of the learning process ◦ Discern technical abilities and learning styles of class participants, and adjust training delivery to accommodate all learners ◦ Assess learners’ comprehension through end user proficiency assessments and workflow performance within the EHR system ◦ Participates in educational and leadership opportunities to enhance professional growth, and gain technical, and operational expertise ◦ Conduct post class follow-up with students and/or leadership to assess the effectiveness of all courses presented, making necessary changes when identified ◦ Analyze and translate workflow and documentation requirements for business processes into efficient and effective application systems solutions with leadership ◦ Leverage workflow knowledge to collaborate with Certified trainer to develop, maintain, and update tip sheets or other learning documents and communication ◦ Encourage the use and development of the EHR system functionality to optimize its full capacity ◦ Promotes opportunities for continuous process improvement regarding workflow and system initiatives • Quality Assurance ◦ Monitors work for accuracy and makes corrections as necessary to ensure ability to bill insurance. ▪ Audits a minimum of 10 accounts per month for all Patient Access Specialists, Financial Services Advocates and Authorization Specialists to ensure they continue to meet quality expectations. ▪ Works in collaboration with supervisors and managers to ensure performance improvement plan is put in place for all staff not meeting quality expectations. ▪ Travel to existing staff at their home location to review audits to mitigate future errors/habits monthly. ▪ Evaluates and reports common error and system limitations ▪ Sends updates as needed to ensure all changes/common errors are communicated in a timely manner. ◦ Assumes responsibility for initial training for Patient Access Specialists, Financial Services Advocates and Authorization Specialists to EPIC processes once they report to the department. In assuming this responsibility, the Access Training & Quality Assurance Specialist will: ▪ Train all new staff on operational parts of training via cornerstone classes. ▪ Evaluate new staff by auditing 100% of patients until they meet quality expectations. This will be done in collaboration with manager/supervisor. ▪ Review 100% audits with new staff every 2-3 shifts to mitigate future errors/habits. ◦ Perform a variety of functions in support of the Access department ▪ Develops a collaborative working relationship with leads, IT, department, supervisors, and managers to ensure changes/upgrades are communicated in a timely manner. ▪ Participates in the design, build, and testing of IT applications with implementation resources to assure understanding of application functionality and workflow for optimal training development. ▪ Maintains tracking system for high impact errors and forwards data to appropriate supervisor/manager for use in Annual Evaluation. Provides monthly feedback to supervisors so they can provide feedback to employees. ▪ Create and maintain training materials/manuals and curriculum for operational trainings. ▪ Works with Certified technical trainer to determine methods for continued education of staff. ▪ Runs admissions report daily to review insurance coverage on prior day admissions. ▪ Works inpatient with insurance change WQ daily.

  • Consistent Front End Coverage to maintain skills & provide adequate staffing on an as needed basis. Rotates with peers when after hour/weekend training needs arise.

  • Creates departmental resource guides and ensures as changes occur the resource guide is updated in a timely manner. Maintains Preceptor Program.

  • Ensures reghelp emails from staff are responded to within 24 business hours. Answers pages immediately to assist all staff when workflow cannot be completed to prevent delays in patient care.

  • Regular attendance at work is an essential function of the job.

Education Qualifications

  • High School Diploma or GED Required and

  • Bachelor's Degree from an accredited college or university in relevant field Preferred

Experience Qualifications

  • Minimum three (3) years’ experience in healthcare Required and

  • Previous training experience Preferred and

  • One year facilitation experience in computer software Preferred

Skills and Abilities

  • Must be flexible and adaptable, have a positive attitude and strong work ethic, and able to work under pressure

  • Excellent interpersonal, communication, facilitation, presentation, and listening skills required

  • Microsoft Office suite (Outlook, PowerPoint, Word, Excel) proficiency required (Visio preferred)

  • Troubleshooting skills (equipment, computer systems, etc…) required

  • Strong problem solving, time management and organizational skills required

  • Ability to function in a dynamic environment subject to impromptu changes in schedules and priorities

  • Ability to adapt to ever changing computer systems, resources, organization needs and learning requirements

  • Proven ability to master new computer applications quickly

Licenses and Certifications

  • EPIC - EPIC Certification Current and valid credentials as an EPIC Credentialed Trainer within 2 years of hire Required

  • A valid driver’s license and acceptable motor vehicle record/driving record required at time of appointment and maintained throughout tenure. Required and

  • Required to provide own transportation for travel throughout the workday when a Children’s vehicle is unavailable Required
