Shift: Shift 1

Work Schedule: 4 Hr (8:00:00 AM - 12:00:00 PM)

Summary:

The Administrative Secretary provides customer focused reception and performs a variety of administrative and scheduling support/staff support for departments reporting to the VPs of Patient Care Services and Administrative Services. Assists and directs visitors, and resolves administrative problems and inquiries independently. Composes edits and proofreads correspondence and reports, and prepares a range of administrative documents as assigned. The administrative secretary is a key factor in departmental organization and flow. Exemplifies the Rush mission, vision and values and acts in accordance with Rush policies and procedures.

Responsibilities:

Ethical Standards of Practice

• Delivers services consistent with the established RUSH Oak Park Hospital Mission and Philosophy.

• Maintains patient confidentiality and respects the rights and dignity of all individuals.

Patient Safety

• Maintains knowledge of policies concerning precautions, code, conditions, warnings and general safety procedures.

• Maintains and facilitates review and revisions of the Clinical Practice Policy and Procedure manual.

Communication

• Communicates effectively with patients and care givers at levels appropriate to their age, cognitive status and language abilities/represents the department in a professional manner.

• Interacts in collaboration with a variety of professionals.

• Participates in organizational professional meetings as required.

• Communicates effectively among departments.

• Load documents on the Intranet as appropriate.

Department Support

• Completes all data entry, reports, and special projects as assigned.

• Provides support to department managers and VPs.

• Responsible for several aspects of scheduling and registration for staff education.

• Completes all department supply orders.

• Creates documents as requested, revises forms and organizes department files.

• Assists in preparation for meetings, includes minutes-taking.

• Assists with special projects as requested.

• Reliably distributes paychecks.

Adaptability and Flexibility

• Provides service as assigned based on department needs.

• Provides coverage for co-workers as requested.

Professional Development

• Identifies professional strengths, area of refinement and assumes responsibility for professional growth.

• Participates in continuing education opportunities, department education and mandatory education.

Instruction and Supervision

• Assists in the orientation and integration of new employees into the ROPH systems.

Miscellaneous

• Assists in the performance improvement and support developmental and quality focused initiatives.

• Contributes to the cost effectiveness of services and programs provided by the department.

• Communicates suggestions related to opportunities for improvement and maintaining positive relations with all customers.

• Above average written and verbal communication skills.

• Able to attend and take detailed meeting minutes in corporate format.

• Flexibility and ability to manage work in a changing environment.

• Intermediate to advanced Microsoft Office skills.

• Basic medical terminology.

• Typing speed of at least 50 wpm.

• Above average organizational skills.

• Above average communication and customer service skills.

• Word, Excel, PowerPoint applications.

• High School Diploma or Equivalent (GED).

Physical Demands:

• Ability to sit 80% of the time.
