Job Title Administrative Support Specialist

Reports to Director of Business Services

Position Purpose To provide comprehensive administrative support to the Business and Human Resources departments and ensuring efficient operations of the NCSD District Office by creating and delivering an exceptional customer service experience.

Essential Performance Responsibilities

  • Support the Superintendent and Director of Business Services with multiple tasks at the district level.

  • Performs clerical duties and other assigned tasks to ensure the smooth and efficient operations of the office.

  • Serves as primary office receptionist receiving visitors and members from the public, receiving phone calls and distributing messages.

  • Maintains reception and meeting areas, including preparation for meetings held at the District Office and other district meetings identified.

  • Manages the District Office meeting room schedules.

  • Processes all incoming mail and receives deliveries.

  • Completes office supply orders and maintains inventory of supplies.

  • Assists with the district calendar.

  • Maintain strict confidentiality of student and staff data in compliance with relevant laws and policies.

  • Gather, organize, and reconcile various data for reporting stakeholders.

  • Collect and compile data for reports, updating files, and databases.

  • Assist in the preparation of handbooks and other documents.

  • Collaborate on District Office special projects as assigned.

  • Assists with maintaining a variety of website data.

  • Monitors employee required training reports.

  • Generates staff ID badges.

  • Updates and maintains the staff directory, Board agendas and policies on the district website.

  • Undertake other duties and responsibilities as assigned.

Qualifications Profile

  • Minimum of an Associate’s degree required.

  • Post-secondary training and experience in office procedures, business/accounting, and technical tasks.

  • Proficiency in general office technology (Google and Microsoft) and ability to learn advanced applications.

  • Advanced clerical and general business office skills.

  • Strong organizational skills necessary for efficient records management.

  • Previous experience in administrative support or related roles preferred.

Physical Requirements

  • Ability to lift, carry, push, and pull up to 40 pounds on occasion.

  • May require some stooping and kneeling.

  • Must be able to sit upright in a desk chair for 7-8 hours per day.

  • Must be able to perform data entry at a computer workstation for 7-8 hours per day.

Working Conditions

  • Business office atmosphere with a moderately low noise level.

Terms of Employment

  • At-Will, Hourly Confidential Employee.

  • 12-month position (Full-time: 260 days per year, 8 hours per day).

  • Employment per Board Policies and Administrative Rules and Regulations.

Evaluation

Performance will be evaluated annually by the Director of Business Services.

FLSA Status

Non-Exempt.
