Summary This position is located in the Central Arkansas Veterans Health Care System, Facilities Management Service, North Little Rock, AR. The medical center is a large multi-divisional tertiary care institution with several outpatient and Community Based Outpatient Clinics (CBOCs). The primary reason for the position is to assist in the implementation and managing of the IBM Maximo Asset Management and other administrative responsibilities for the service. Responsibilities Major duties and responsibilities include, but are not limited to: Research invoices and verify that work is complete, and all billings are correct before certifying invoices. Maintain purchase order files and coordinates with service, organizations, vendors, and service contacts to minimize delinquent status of orders. Independently monitors service contracts, records, and contracts vendors as required to ensure that contracts is serviced on time in accordance with service contract specifications. Maintain daily time sheets and processes daily time sheets for employees. Develops and maintains service and office date files and records. Experience of all phases of section's clerical support positions to ensure these positions are adequately covered at all times. Locate and select appropriate guidelines, references and procedures in order to plan and carry out assignments, resolve most conflicts that arise, and coordinate work with others as needed. Monitor and assign appropriate vehicles to provide transportation services throughout organization according to schedules established. Applies training, experience, and knowledge of rules and procedures to perform a full range of clerical assignments and resolve recurring problems. Produces written information, which may include technical material, that is appropriate for the intended audience. Work Schedule: Monday to Friday 7:00am- 4:00pm. Qualifications To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/13/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience, equivalent to the GS-5 level in the Federal service, that equipped you with the particular knowledge, skills, and abilities (KSA's) needed to successfully perform the duties of the position and that is typically in or related to this Program Support Assistant (OA) position to be filled. Specialized experience includes: 1) Experience in providing administrative support such as answering telephones, referring visitors, providing information; utilizing electronic systems such as word processing, spreadsheet, electronic mail, desktop publishing, calendar, database and/or graphics; 2) Experience in processing documents and reports; establishing, updating, and maintaining office files and records; 3) Experience utilizing electronic systems to gather, review, input, update, access, organize, process, and to maintain information for department functions.. This experience must be supported by your resume to be creditable. In addition to meeting experience requirements, applicants for this position must possess the ability to type 40 words per minute. You will be rated on the following Competencies for this position: Accounting Operations Administration and Management Customer Service (Clerical/Technical) Writing Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work is primarily sedentary, but may involve intermediate periods of walking to user locations throughout the medical center to provide customer support.
