Description

Administrative Assistant

The purpose of the Administrative Assistant role is to provide excellent customer and administrative service to Cal-Tek’s customer base. This role is the first point of contact for new and existing customers. It requires a detail-oriented and positive individual. Responsibilities:

· Greet customers at the front window and lobby and receive/check in equipment into MET/TEAM to be tested for the customer.

· Deliver checked in equipment to the receiving area.

· Answer phone calls and direct calls or take detailed messages and deliver messages in a timely manner.

· Respond to emails from customers and send updates on equipment status in a timely and professional manner.

· Organize customer bills scan billing statements into computer.

· Organize customer paperwork and file information in a timely and accurate manner

· Assist with shipping equipment and documentation to customers

· Assist with receiving shipments from customers, open boxes and route received shipments to the proper department

· Receive payment information and enter it into the Traverse system

· Other duties as assigned

Required Experience and Skills:

· Minimum 5 years solid Administrative Assistant experience in a testing laboratory or industrial setting

· Minimum high school diploma or GED

· Minimum 5 years Microsoft Office Suite experience including advanced Excel and Word knowledge

· Experience with MET/TEAM Lab Equipment software or Traverse software a plus

Additional requirements:

· Positive friendly attitude

· Quick learner

· Detail oriented

· Ability to juggle multiple duties and stay on task
