Job Title:* Customer Service Representative/Administrative Assistant*

Job Summary Provides quality service to customers by greeting visitors, making an assessment of their needs and directing them to appropriate services or staff. Coordinates the overall function of daily customer flow, orientation, workshop preparation and completion, and directs phone customers to the appropriate staff member. Provides PACareerLink® enrollment assistance, completes and prepares reports for data tracking, and performs other general office duties such as creating and sending drafts and data entry.

Responsibilities

Essential Functions • Greets and welcomes visitors in a prompt and friendly manner and makes appropriate referrals to staff, workshops or other PACareerLink® services after assessment • Answers and directs calls on the PACareerLink® multi-line telephone system in a pleasant and professional manner • Provides brief overview of available PACareerLink® Montgomery County services, resources, workshops and partner information • Retrieves login information for individuals to access the PA CareerLink® website • Explains program enrollment process and requirements • Refers job seekers to appropriate staff member for additional information on recruitment services available or other community resources, including support service referrals • Responsible for monitoring traffic flow as it pertains to orientations, workshops, appointments, unemployment inquiries, and the Career Resource Area; prepares monthly reports • Prepares and prints calendar of events and customers scheduled for services for the next day • Makes reminder calls to job seekers for upcoming workshops and orientations • Maintains and updates daily/monthly activities on the reception area monitor • Coordinates and monitors sign-in/registration of appointments, orientation, workshops and appointments • Enforces PA CareerLink® customer policies and is able to explain in a professional manner if a policy is broken • De-Escalates customers in professional manner and communicates with site leadership regarding additional support • Performs supportive departmental duties such as data entry, copying, calendar maintenance and tracking deadlines • Other opportunities as available

Qualifications

Education and Experience Requirements

• Excellent communication and interpersonal skills; both written and oral • Experience in answering multi-line telephones in a courteous, efficient and professional manner • Proficiency in Microsoft Office applications required • Two to five years of experience in an administrative or customer service position with high customer volume • Two to five years of professional office experience that includes data entry • Associate's Degree is preferred, or an acceptable combination of education and experience • Bilingual ability a strong plus
