The PM Records Supervisor is responsible for supervising the Transaction desk, including monitoring, distributing and processing records requests received via telephone, email and electronic request forms. Additionally, this individual will perform and supervise functions including scanning, document/file/box processing and transport, and will provide support to the conflicts and intake team, as needed.

This position is located in our New York office, and the hours are Monday through Friday, 1:00 p.m. to 8:00 p.m. We offer a competitive salary and excellent benefits including medical, dental, vision care, 401(k), substantial health club discounts, and a transportation plan.

  • Receiving and monitoring records requests via telephone, email and electronic forms;

  • Distributing records requests to the subject-matter expert, as needed;

  • Processing and completing records requests;

  • Conducting in-depth research to answer requests;

  • Maintaining data in various electronic records databases;

  • Supervising and/or conducting the sorting, analysis and classification of incoming materials;

  • Supervising and/or conducting box processing, including ordering, receiving and returning boxes to warehouse storage;

  • Conducting quality control of processed documents, files and boxes;

  • Conducting conflicts checks and processing new business intake requests, as needed; and

  • Performing other duties, as assigned.

  • High school degree required; college degree preferred;

  • At least two to five years of experience in a law firm or professional services firm. Records, conflicts, library or paralegal experience preferred;

  • Knowledge of legal records management software, scanning/imaging programs, Adobe, and MS Office Suite;

  • Ability to analyze documents and determine objective indexing data;

  • Capable of solving problems and meeting strict deadlines;

  • Ability to work well under pressure, and coordinate and prioritize several concurrent activities;

  • Service and detail-oriented approach to work;

  • Ability to work independently and as part of a team;

  • Excellent oral and written communication skills;

  • Ability to lift and move several boxes varying in weight and size; and

  • Ability to work additional hours, as needed.
