Job Description

The successful candidate will serve as a Receptionist reporting to the Office of the Chief Technology Officer (CTO). Under supervision, performs clerical and related work with limited latitude for independent judgment.

Responsibilities may include but not limited to:

  • Coordinate the daily activities of the Reception Area, including:

    o Receive and disseminating all incoming calls, faxes, and mail

    o Greet in-person visitors for scheduled appointments

    o Forward inquiries from the general public to the appropriate person.

    o Retrieve voicemail messages from the general office mailbox.

  • Develop and maintain positive working relationships with internal and external staff;

  • Schedule, plan, and coordinate meetings;

  • Prepare meeting materials and managing the booking of meeting rooms and associated items as needed;

  • Open and date stamp all general correspondence and deliver office mail to appropriate personnel;

  • Regularly maintain and update contact lists, organizational charts, and email distribution lists;

  • Perform other administrative duties such as filing, drafting letters, copying, faxing, etc.;

  • Assist executive and senior staff with day-to-day activities, which includes compiling prep materials for meetings, coordinating logistics and other events;

  • Perform other appropriate duties and participate in other duties as assigned.

Qualifications

Qualification Requirements

A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and one year of satisfactory clerical experience.

Skills Requirement

Keyboard familiarity with the ability to type at a minimum of 100 key strokes (20 words) per minute.
