The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. Position Summary

The Payroll Manager plays a pivotal role in overseeing and managing all aspects of payroll processing within the Department of Medicine. This position involves handling salaried transactions, coordinating with various departments, and ensuring compliance with university payroll policies and procedures. The Payroll Manager works closely with the Director to streamline day-to-day operations and resolve any payroll-related issues efficiently. The ideal candidate possesses a strong knowledge of payroll regulations, exceptional organizational skills, and a commitment to maintaining confidentiality.

Responsibilities

  • Oversee all aspects of payroll processing, including salary allocations, cost transfers, payroll reconciliation, and overpayment recoveries.
  • Lead the processing of all payroll transactions, including Salary Accounting Forms, additional compensation, bonus payments, and distribution payments.
  • Ensure accuracy, compliance, and timely payment of employees.
  • Collaborate with various departments to gather and validate payroll information for new hires, terminations, promotions, and salary changes.
  • Reconcile Peoplesoft payroll earnings report on a pay date basis for officers, support staff, and casual payrolls.
  • Monitor and resolve payroll discrepancies, investigating and resolving issues promptly and accurately.
  • Collaborate with Divisional Administrators in the allocation of payroll expenses.
  • Act as the departmental representative to Payroll Suspense, ensuring timely resolution of open suspense items.
  • Generate monthly reports on outstanding suspense items and process transactions to clear suspense after notifying the respective division.
  • Reconcile salary accounts and serve as the primary liaison between the central Payroll Accounting Office and the department's Payroll Office.
  • Prepare financial reports and spreadsheets on all payments issued and interpret Payroll Reports as needed.
  • Coordinate with HR/Faculty Affairs Units regarding expiring appointments.
  • Address employee inquiries and concerns related to payroll, providing exceptional customer service and support.
  • Stay updated on payroll regulations, implementing necessary changes to ensure compliance and best practices.
  • Perform additional related duties as required or assigned.

Minimum Qualifications

  • Bachelor's degree or equivalent in training, education, and/or experience and at least four years of relevant experience.
  • Excellent communication skills with the ability to interact effectively with staff and faculty at all levels.
  • Proficiency in computer skills including Microsoft Office applications, particularly Excel.
  • Strong attention to detail and the ability to manage multiple tasks efficiently.
  • Good organizational and time management skills to meet strict payroll deadlines and manage multiple priorities.
  • Exceptional communication and interpersonal skills, with the ability to interact effectively with employees at all levels of the organization.
  • High level of integrity and ability to handle sensitive and confidential information.

Preferred Qualifications

  • Experience in computerized reports, financial statements, and university systems.
  • Experience in university payroll administration

  • Successful completion of applicable compliance and systems training requirements
