MetLife Executive Assistant in New York, New York
Role Value Proposition:
This full-time position is responsible for providing a high level of administrative support to the Senior Vice President and Head of Regional Business, U.S. Region - Group Benefits. This position requires excellent organizational skills, attention to detail, flexibility and the ability to prioritize workload and multi-task in an environment that requires frequent change. This individual must be able to work independently with minimal supervision and demonstrate excellent interpersonal and communication skills, both verbal and written. The individual is expected to maintain confidentiality and exhibit a high level of discretion and professionalism.
Key Responsibilities:
Administrative
Manage Microsoft Outlook calendar, inbox, and address books
Schedule and coordinate meetings / conference calls; prepare related materials / correspondence; print materials
Manage travel, calendar management, expense reports, catering, meeting/town hall logistics, org charts, distribution list
Respond to incoming telephone calls, routing calls as appropriate
Respond to inquiries for information and provide follow-up on requests to ensure resolution
Handle confidential/sensitive information
Arrange and coordinate complex travel itineraries
Assist in the preparation and/or coordination of presentations, reports and spreadsheets by preparing and editing text, slides and other materials
Assist with Supply ordering, moves, facilities request, security request, etc.
Invoices
Process expense reports and vendor invoices for reimbursement/payments and reconciliation
Interface with the team and clients at all levels of the organization, both within and outside the company
Maintains documents and records following administrative policies.
Office Presence
This role will be hybrid out of MetLife’s 200 Park Ave, New York, NY office.
3 days in office, 2 days work from home with flexibility to be in-office when SVP is in NYC.
Typical hours are 8 - 5pm with flexibility based on travel schedule of SVP.
Essential Business Experience and Technical Skills:
10+ years of experience
Extensive experience in travel arrangement and expenses
Extensive knowledge of PC equipment, software programs
Strong organizational and interpersonal skills
Highly proficient/fluency in Microsoft Office programs
Highly professional in presence and communication skills (oral and written)
High School diploma or equivalent required / some college preferred
