Beacon Hill Staffing Group Executive Assistant in New York, New York

Fashion brand location in the Tribeca area of Manhattan seeks to hire a Temporary Executive Assistant to join their team starting 4/29/24 through 11/28/24. This position operate 50/50 hybrid schedule. Pay rate is up to $37/hr DOE.

Responsibilities

  • Manage and maintain all aspects of executives' calendars, including internal and external partner meetings, strategy & hindsight meetings, Global pipeline milestones.
  • Coordinate domestic and international travel arrangements for executives including flights & hotel, car service, Visa/Passport applications, dinner reservations, meetings, and itineraries. Update quarterly travel budget tracker.
  • Execute logistics for onsite meetings and support at Market Week events. Onsite logistics include space planning, catering, tech support and supplies, partnering with global events, registering, and greeting guests.
  • Support with finance projects including supplier setup, creation and tracking of purchase orders, submitting invoices, completing executives' expenses.
  • Complete HR related tasks including new hire setups, contractors onboarding and tracking, managing departmental org charts and support across teams.
  • Liaise and build relationships with cross-functional partners including admins, IT, global events, catering, corporate operations, security, mail room, etc.
  • Learn and enforce company policies regarding global travel, expenses, finance, etc., and be able to support team with any questions.
  • Complete ad hoc projects in addition to team administrative support including managing distribution lists, planning volunteer or team events, ordering supplies, IT troubleshooting, space planning.
Qualifications:
  • Excel in a professional business environment with competing priorities, deadlines, and frequent changes. Anticipate problems in advance and offers up solutions. Possess good judgement and value confidentiality on all business matters.
  • Organized with exceptional attention to detail and desire to consistently achieve thorough and accurate results. Maintain a positive, professional, and enthusiastic attitude.
  • Team oriented relationship builder who can excel in a fast-paced environment.
  • Proficient computer skills in Microsoft Office Suite and able to quickly learn new systems: OneDrive, Teams, Zoom, Oracle, Visio, etc.
  • Skilled in complex international travel management, Visas, and other travel support.
  • A minimum of 5 years of administrative experience directly supporting executives.
