The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. Position Summary

The Vagelos Institute for Biomedical Research Education (VIBRE) in the Vagelos College of Physicians and Surgeons (VP&S) is home to PhD students pursuing the most creative, potentially disruptive ideas in biomedical science and spurs the training of more physician-scientists. As part of the Office for Research (OFR), the VIBRE is responsible for fostering an optimal academic research environment to nurture the growth of scientists who have a sustained commitment to solving longstanding medical problems.

The VIBRE functions across departments, centers, and institutes to foster interdisciplinary research training for biomedical PhD students. The Research Education Operations Administrator will work with internal stakeholders and external partners to provide program operations that promote research training activities and contribute to trainee success as well as foster a nurturing educational environment.

The ideal incumbent has significant experience with the administrative and operational needs of trainee learning programs and experience working in research and/or educational setting.

Responsibilities

  • Responsible for providing administrative and program operations for biomedical research education activities.
  • Independently oversees and executes logistical and administrative processes to support student activities from admissions to graduation and beyond, including informational sessions, interviews, and events.
  • Partners with other teams, leaders, alumni, students, and affiliates to plan logistics and execute activities and events related to graduate education, this includes communications, marketing, scheduling, ordering catering, purchasing supplies, liaising with vendors, purchasing reconciliation, etc.
  • Ensures adequate support to stakeholders and prospective applicants, especially during peak periods.
  • Works with team members to oversee relationships with vendors and University-wide partners to maintain, update, and optimize systems and data used to support research education programs.
  • Recommends best practices and works with other members in the office to enter, track, and audit trainee data as well as execute the administrative processes needed to ensure student success while in program.
  • This may include, but is not limited to tracking program milestones, preparing degree documentation, etc.
  • Track student financial support, manage student funding sources, and ensure processes are executed to ensure students are financially supported.
  • Manages the coordination of activities related providing an outstanding curriculum such as course registrations, classroom reservations, and Courseworks recordkeeping.
  • Drafts wide range of written communications, including newsletters, program policies, program handbooks, announcements and marketing for events, online content, website presence, and other institute and student-related needs.
  • Develops surveys and evaluates feedback from stakeholders to resolve immediate issues and make long-term recommendations on educational matters, including but not limited improving operations for student success.
  • Monitors use of resources and effectiveness of trainee programs and proposes potential expansion opportunities or improvement solutions.
  • Serves as a liaison for divisional ventures related to the education and research mission.
  • Performs other duties related to Research Education activities as needed.
  • People

    • Builds relationships with stakeholders to understand and meet needs.
    • Interacts with faculty, students, and administrators as needed on assignments.
    • Regularly communicates with University units, including but not limited to OGA, and GSAS to support seamless operations.
    • Helps train and onboard members of the Biomedical Research training programs.

    Compliance

    • Ensures compliance with external regulations and VP&S and Department policies.

Minimum Qualifications

  • Bachelor's Degree or combination of education and experience.
  • A minimum of four(4) years of related experience, including higher education, science profession, curriculum development or related role.
  • Excellent communication (both verbal and written) and interpersonal skills required.

Preferred Qualifications

  • Familiarity with Columbia University Research or Education systems and protocols is a strong plus.
  • Prior experience in an academic and research environment
